Job Summary:


The Development Administrator’s overall responsibility is to contribute to Interval House’s fundraising and communications initiatives by maintaining accurate donors’ records, providing excellent donor relations, and assisting with fundraising and communications campaigns.


Duties and Responsibilities include:


- Data Processing and Database Administration, donor relations support, fundraising and communications through:

  • Completing and overseeing entry of donations from various sources, issuing tax receipts and provide support and guidance to database users
  • Importing data from various sources (Raisin, Canada Helps, Excel spreadsheets, other databases) into the donor database and preparing all incoming donations for bank deposit
  • Assisting with the monthly reconciliation of accounting records
  • Maintaining data integrity and accuracy and conduct global data changes to the database as required
  • Communicating in a professional manner with donors to accept donations and process changes to donor information
  • Preparing letters, mailings and presentations and ensure timely correspondence with donors and stakeholders
  • Fulfilling donor stewardship activities
  • Assisting in the administration of the annual giving program including direct mail production
  • Assisting with the implementation of special awareness and engagement campaigns
  • Supporting communications activities such as digital marketing, and the production of materials such as the Gratitude Report and infographics
  • Providing support in coordinating community events
  • Coordinating interviews with clients, donors, and volunteers for use in Interval House materials
  • Liaising with agency consultants such as graphic designers, direct mail agency, website developer, etc.
  • Assisting with updating and maintaining Resource Development policies and systems
  • Training and supervising Resource Development and Communications volunteers
  • Keeping up-to-date on issues relating to violence against women and fundraising legislations and best practices


Qualifications and Competencies

  • 1 - 2 years’ experience and knowledge working with a fundraising and donor management database
  • Superior written and verbal communication skills
  • Demonstrated ability in establishing and maintaining collaborative relationships with external stakeholders
  • Computer proficiency with skills in CRM, databases, Microsoft Suite, Outlook, Adobe Photoshop and Social Media Platforms
  • Demonstrated track record of effective administrative and organizational abilities 
  • Event Planning ability
  • Conduct that demonstrates adherence to the AFP Standards of Professional Practice
  • Knowledge and understanding of issues affecting women and children who have suffered abuse, and the available resources and services to support them
  • Demonstrated skills to engage with others, listen, and provide feedback
  • Demonstrated ability to work as part of a team and foster teamwork
  • Demonstrated ability to manage interpersonal conflict
  • Ability to observe and maintain confidentiality
  • Behavioral focus on ethics, integrity, loyalty and goal & result oriented
  • Focus on continuous self-development
  • Demonstrated ability to follow through to implement results in a timely manner
  • Thorough and detail-oriented work related approaches

  • Must be flexible with workdays and/or hours
