POSITION:       DATA CLERK – CALL OUT                        1 Part Time - Surrey


SALARY:          $17.51per hour depending upon (as per the Collective Agreement).


PROBATIONARY/TRIAL PERIOD: Shall be 3 months/488 hours in length with reviews held at the mid and end point of the Period. Conditional on satisfactory service, the employee shall be declared permanent. If found unsatisfactory, the appointee will return to his/ her former position.


HOURS AND DAYS OF WORK: Will work Saturday and Sunday. Shift times will be 15:00 to 23:00. Shifts are 7.5hours in length. Days of rest shall be consecutive. Schedule may change with two weeks’ notice.


JOB DESCRIPTION: This position works within an emergency shelter and supported housing which provides services to destitute and homeless adult men & women who cope with a variety of challenges such as mental illness or addictions. The Data Clerk-Callout worker reports to the Site Manager or designate and works in conjunction with the mission and philosophy of Lookout Emergency Aid Society including following Lookout’s Code of Ethics. The Data Clerk-Callout worker carries out a variety of duties such as word processing, correspondence – phone and electronic, schedule and report tracking, typing, callouts and call recording, maintaining records of casual employees and answering general inquiries related to programs and policies.

JOB DUTIES: As posted – in brief – performs record management such as call records, attendance records and minimum yearly availability records as related to casual staff. Receives requests for emergency relief coverage, allocates and calls in relief staff to fill vacancies resulting from unfilled positions, in accordance with Lookout’s Casual Availability Policy and Procedure and the Collective Agreement. Inputs casual availability updates into employee database (ComVida) and tracks any changes by running reports. Corresponds with staff directly during telephone callouts and electronic email. Gathers and compiles information as required. Assists and sorts paperwork that should be reviewed by Site Manager or designate either for approval or follow-up. Answers general availability and shift inquiries by telephone or in person from a variety of sources and provides information about casual policy and procedure as it relates to casual shifts. Refers any issues and problems to Site Manager or designate. Assists with new casual availability and training by performing duties such as obtaining information, completing documentation and liaising with information sources to obtain casual employee information. Schedules and confirms casuals for emergency shift coverage. Contacts Site Manager, On-call Manager or designate and informs of schedule update or changes.


QUALIFICATIONS: Post secondary education equivalent to two years of study plus two (2) years of recent related experience including at least one (1) year of experience working in a non-profit environment or an equivalent combination of education, training and experience. Must have: OFA 1 First Aid; effective verbal and written communication skills; physical ability to carry out the duties of the position; ability to work independently and cooperatively with others; ability to deal with others effectively; demonstrated ability to operate equipment; demonstrated ability to provide work direction; demonstrated ability to understand and maintain client/worker boundaries. Demonstrated ability to organize work.
