The Program:  At the St Paul WJS Family Service Centre, we work to keep families together and see that children have the love and care they need to grow into healthy adults. All of our services focus on creating a healthy home environment. Staff nurture family strengths through practical plans that - provide information, training and support in the home, help parents develop their parenting and basic communication skills, improve parent-child relationships and increase understanding of the demands of child development.


The Position: The Part-time Administrative Assistant will assist the Program Director, and other management, with the preparation and maintenance of client & personnel files, preparation of payroll and invoicing, completion of petty cash and expense reports as well as other administration items for the programs as designated.

What you will do in this role:

  • Prepare, code & submit for approval invoices, bills, expense claims, etc. according to established timelines.
  • Accurately complete and submit payroll time sheets, leave requests and other personnel forms.
  • Process and/or create program reports, documentation and written communications.
  • Maintain balanced petty cash fund.
  • Represent WJS to clients and communities in a professional manner on the telephone and in-person reception.
  • Organize, secure and store electronic and paper records, incoming information/documents, client & personnel records & files.
  • Schedule appointments for various services.
  • Direct clients to appropriate agencies, contacts and/or service providers.
  • Maintain confidentiality of program, client and staff information.
  • Maintain office supplies and equipment, i.e. stationery, fax machines, computers and printers.
  • Abide by program and provincial standards as well as WJS policies and procedures.
  • Assist in the evaluation of program/service deliverables and contribute information and recommendations toward improvements.
  • Maintain effective liaison with funding agencies and other WJS offices.


*** Prior to confirmation of employment all applicants must provide a current (within 3 months) Criminal Record Check and Ministry Check. These checks can take up to 6 weeks to obtain, please ensure you prepare accordingly.


As an ideal candidate you possess:

  • High School Diploma; Preference for a completed 2 year Certificate/Diploma (Administration or related)
  • Minimum of 1-2 years experience in an office environment
  • Excellent Microsoft Office skills (MS Word & Excel)
  • Demonstrated ability to type 60 wpm
  • Knowledge and experience using various database systems and AP/AR software applications
  • Strong communication, administrative & computer skills
