POSITION SUMMARY:

Reporting to the Manager, Professional Development, you will be responsible for coordinating OPA professional development programs and initiatives in a fast-paced team environment. You will work in close co-operation with multiple stakeholders, including speakers, expert reviewers, and pharmacists, and will develop positive, professional business relationships.

 

Utilizing your program management background and leadership abilities, you will apply project management principles and take an active, hands-on approach to ensure OPA professional development programs are executed successfully. This includes facilitating webinars and attending professional development live sessions.  Please note there is an expectation regular travel to and from programs including evenings and weekends (on average two weekends per month).

 

RESPONSIBILITIES:

 

Planning and Execution of Programs:

  • Secure speakers, expert reviewers and facilitators for programs
  • Draft provider agreements
  • Coordinate communications with and between speakers, expert reviewers and internally with team members and other departments
  • Track receipt of all materials to be received from speakers, facilitators and expert reviewers; timely follow-up on outstanding material as required
  • Ensure speakers and expert reviewers provide deliverables on the agreed upon dates
  • Finalize contracts, transportation, materials, A/V requirements, materials, payment, and thank-you e-mails
  • Immediately report risks, assumptions and issues related to project work to identify/mitigate/manage project risks and systematically resolve or escalate issues in a timely manner
  • Manage the expert review process including all communications and documentation
    • Liaise between the expert reviewer and speaker/provider regarding presentation comments and edits
  • Maintain databases for OPA’s professional development programs and materials (e.g. speakers’ database)
  • Prepare all material for live events (printing, photocopying, compiling)
  • Source and order required supplies and equipment (including outsourcing) for programs
  • Produce program agendas and administration of program communication to participants
  • Create registration information and arrange proper communication with Communications and Marketing teams
  • Administering marketing content of live and online programs to OPA Website
  • Provide online learners with customer service and support to ensure their learning experience is convenient and enjoyable
  • Manage all communications with registrants
  • Post and administer marketing content of live and online programs to OPA Website
  • Manage the Litmos system - Team creation, adding and removing team participants, monitoring AMS for new registrants
  • Address participants’ questions received via e-mail and phone
  • Work with the Events & Development Specialist to coordinate sponsorship needs, venue/catering and AV requirements
  • Communicating dietary needs to the Events & Development Specialist and communicating final registrant counts
  • Packing and shipping coordination of all live programs
  • Chair and facilitate live programs and webinars as required, including:
  • Ensure set-up of room including signage and technical devices (projector/laptop/AV)
  • Introduce speakers and address attendee questions
  • Manage sign-in

 

Project Management

  • Develop and maintain integrated project plans, using Gantt charts, to ensure accurate and appropriate inclusion of deliverables, scheduling, milestones, resources, inter-project dependencies and progress reporting
  • Ensure applicable policies and procedures and best practices are implemented and adhered to
  • Assist in development of SOPs

 

QUALIFICATIONS: 

  • Undergraduate degree preferred
  • Minimum of 3-5 years program coordination experience
  • Experience in project management and using Gantt charts is an asset
  • Quality and detail oriented
  • Demonstrate ability to self-organize workload, assess priorities, multi-task and take initiative
  • Excellent written and oral communication skills with a comfort level in public speaking
  • Capability to anticipate and problem solve independently
  • Creative self-starter with a strong work ethic and a commitment to excellence. You thrive in a demanding, fast paced, and quality driven environment
  • Familiar with adult learner needs and learning styles
  • Experience with CCCEP accreditation an asset
  • Intermediate-Advanced level in the Microsoft Office suite of programs including Word, Excel, PowerPoint, Access, and Outlook. Knowledge of Litmos is an asset
  • Professional, positive, and enthusiastic
