WE is seeking a detail-oriented administrative specialist for the role of Associate Director, Executive Communications and Stakeholder Relations to join the Executive Office. The successful candidate will have the opportunity to directly contribute to the organization’s growth and fulfillment of its mission by providing in-depth and front line logistics and communications support to the co-founder at a number of events, speaking engagements, keynotes, meetings and more.  This opportunity suits individuals who are highly-motivated, excited about corporate travel and thrive in high energy work environments.

The position is based out of WE's office in Toronto (233 Carlton Street).

Your Impacts as Executive Support:

  • Provide high level logistical and operational support to the co-founder at a variety of business development meetings, events, conferences and keynotes engagements.
  • Accompany the co-founder on trips locally, nationally and globally.  Provide on the ground support during the trip and assist in follow-up projects as needed
  • Collaborate with internal communication and development teams to deliver results
  • Liaise with internal departments and regional office teams to ensure alliance in terms of working with potential stakeholders, including meeting and material preparation and ongoing engagement.
  • Provide leadership and set priorities around executive communication with a strong focus on correspondence needs and stakeholder engagement
  • Work with internal and external clients to arrange all logistics for each event
  • Act as an ambassador for the organization at all times with the ability to answer questions/provide information about our international and domestic projects and impacts
  • Organize all correspondence, research and presentation material and help with ongoing projects as required
  • Manage and administer a variety of tasks at events and meetings,  including but not limited to: technical assistance, administrative duties, presentations, logistical details, and other duties as assigned  
  • Liaise with clients to arrange book/merchandise sales and book signing at events
  • Build and foster relationships with prospective donors at all levels
  • Undertake a variety of additional tasks and projects as requested by the Executive Office 

What you bring:

  • Five years+ of relevant professional experience related to executive communication and stakeholder engagement.
  • Strong project management and internal process-building skills.
  • Strong skills in interpersonal communication – written and oral   and relationship management.
  • Attention to detail, and high-level of accountability for the quality and timely completion of projects.
  • Must be flexible and comfortable with frequent travel for work purposes, often for weeks at a time and on evenings and weekends. Travel amounts to approximately 180 days a year.
  • Excellent judgment and problem solving skills
  • Organized, proactive with a strong ability to multitask, as well as flexible and comfortable with sudden changes to travel and event details
  • Advanced Microsoft Office skills, especially Outlook, Word, Excel and PowerPoint
  • Positive, energetic, enthusiastic with a strong work ethic
  • Excellent relationship building skills, including the ability to work collaboratively in a team environment
  • Ability to work effectively in a high-volume, fast-paced team environment
  • Ability to maintain a high degree of discretion and confidentiality
  • Proficiency in French an asset
  • Valid G class driver’s license is a must, along with strong level of comfort driving on highways and in new cities, using rented vehicles
  • Valid Passport with the ability to travel anywhere in the world
