The Federation of Canadian Municipalities (FCM) is the national voice of municipal governments, representing the interests of cities and communities with the federal government.

Background:

FCM Programs aim to enable local governments in Canada and in several countries overseas to provide services to their population that stimulate sustainable community development and wellbeing. To effect that change, we work directly with municipal leaders and stakeholders; we develop and implement change initiatives with them; we create tools and resources to build capacities and mobilize actionable knowledge; and we influence the sector with stories of human and community development. Current areas of programming include social and local economic development, women engagement in municipal affairs, infrastructure asset management, municipal-First Nations cooperation, environmental innovation and climate-related solutions. At the global level, FCM is implementing programs in over 20 countries.

 

Major Purpose:

As a member of the Program Services Unit (PSU), the Receptionist provides general reception support to the FCM Programs Department and administrative support to the PSU & other FCM Program units, as needed.

 

Key Responsibilities:

Reception

  • Receives and distributes all incoming mail and shipments, including opening and date stamping all general correspondence
  • Handles both incoming and outgoing couriers, including contacting couriers for outgoing mail requests and maintaining way bills and log book
  • Answers incoming telephone calls and email messages in the general mailbox; responds to general inquiries; directs and/or transfers incoming calls or email messages to appropriate parties
  • Greets visitors entering establishment, determines the nature and purpose of their visit, and directs them to meet appropriate staff members
  • Ensures guests are greeted cordially and directed promptly to FCM staff
  • Maintains all meeting rooms and reception area; including ensuring that proper supplies are available (flipcharts, markers, etc) and ensuring they are clean and tidy
  • Maintains the kitchen area, including cleaning dishes from meetings with external clients
  • Maintains an adequate inventory of office supplies for the department of FCM Programs
  • Coordinates the repair and maintenance of office equipment (external technicians)
  • Sets up and helps to clean up from meetings and other training initiatives

Administrative Support

  • Provides general administrative support to FCM Programs, particularly with respect to:
    1. Assisting with general administrative duties such as: processing invoices, routine correspondence, scheduling meetings, and maintaining electronic documentation for effective and efficient retrieval of information.
    2. Coordinating translation requests from staff and liaising with translation companies to receive these services in a timely manner;
    3. Receiving travel requests from staff and arranging travel bookings;
    4. Other administrative tasks as needed.

 

Knowledge, Experience and Skills:

  • High School diploma
  • Minimum of 1 year related work experience
  • Requires basic knowledge of business support processes and tools, computer business applications (Microsoft Office suite)
  • Good interpersonal, organizational and communication skills
  • Demonstrated attention to detail and quality assurance;
  • Able to direct calls using a telephone system;
  • Strong customer service and communications skills to interact with members, FCM staff and the public;
  • Ability to organize, multi-task and prioritize to coordinate a variety of daily responsibilities;
  • Fluency in both official languages with excellent telephone manners

Language:

  •  The ability to work in both official languages (English and French) is required.
