Title:                            Operations Manager

 

Report to:                    Director of Operations

  

Position summary 

The Operations Manager is a values-based leader with an emphasis on operational efficiency and accuracy. The Operations Manager manages and supports the entire Operations Department and logistical activities for the Greater Vancouver Food Bank (GVFB) and its partners.  This position also develops, implements and schedules training for Operations staff. The Operations Manager researches and identifies best practices, policies, LEAN practices, and planning activities and requirements for the Operations Department. The position requires close attention to detail and the ability to think strategically.

 

The Operations Manager has a natural ability to lead in a fast-paced environment and thrives on dealing with change and deadlines. A combined background of education and experience in warehousing and logistics with a project management mindset and organizational abilities are key skills. The Operations Manager is a solution-focused individual who makes sound decisions as needed, and pro-actively involves themselves in all facets of the operation. The Operations Manager must be a team player with an aptitude to learn, a willingness to contribute, and a passion for making a difference in the community.

 

Main Duties

Implement and accurately manage all human resource and policy functions related to the Operations team including, but not limited to: training, orientation, performance review, work issues, daily reports, and Health &Safety requirements.

  • Oversee management and monitoring of the Warehouse Management System, integration and training required.
  • Assist and provide training to staff and volunteers as needed (job duties, internal and external training, safety procedures and policies).
  • Plan, organize and oversee operational and special event logistics, including work schedules, timetables and procedures, resolve work-related issues, complete daily reports in collaboration with Operations Director.
  • Oversee input of IMS data relating to product received, purchased and distributed.
  • In conjunction with the Food and Education Director and the Operations Director, plan and order product as needed.
  • Oversee all recycling and zero waste initiatives, ensuring all statistics and data is reported in a timely manner.
  • Work with Communications Department for media-related initiatives that require Operations support, especially within the warehouse.
  • Oversee operations of the food recovery programs with the Driver Coordinator.
  • Assist and provide training to staff and volunteers as needed (job duties, internal and external training, safety procedures and policies).
  • Order supplies and materials in accordance with the annual budget.
  • Ensure smooth operation of trucks, equipment and machinery, and arrange for maintenance and repair work as needed in collaboration with the manager in charge of preventative maintenance.
  • Hold daily meetings, weekly updates and monthly Operations meetings.
  • Manage a process to ensure all location and agency program orders are picked, checked and completed accurately before and after distribution.
  • Work with Community Connecters and Quality Insurance Specialist to complete distribution processing, quality, accuracy, health and safety and all deadlines for program distribution.
  • Manage, assign and review work of direct reports engaged in: shipping, receiving, inventory, distribution, logistics, order picking, programs, events, production, stock movement and rotation.
  • Oversee and monitor alignment of GVFB Total Reward Compensation philosophy with the Operations Director.
  • Responsible for managing upkeep, efficiencies and cleanliness of warehouse and surroundings.
  • Cover driver’s responsibilities as needed.
  • And any other such work duty as requested by the Operations Director.

 Employment requirements.

  • Certificate in business, transportation, logistics or equivalent combination of experience and education.
  • 3+ year’s driving experience using industrial fork lifts in racked warehouse facilities.
  • 3+ years’ experience in logistics management an asset.
  • Advanced knowledge of Business by Design SAP or other ERP software, office software, Word, Excel and Power point. Experience with Warehouse Management Systems preferred.
  • Must have ability to communicate effectively with all levels of operations and staff.
  • Ability to work with and manage volunteers.
  • Strong and effective people management skills
  • Excellent communications skills, written and verbal.
  • Proven team building and leadership skills.
  • Strong conflict resolution skills and diplomacy.
  • Excellent planning and resource allocation skills.
  • Project Management experience an asset.
  • Good financial and business know how.
  • Successful pass of a Criminal Record Check - (for vulnerable sector)
  • BC Class 3 driving license an asset.

 

 

Working conditions

  

·         Majority of time will be spent in a warehouse environment. Exposure to ambient temperatures and noisy conditions.

·         Proper safety equipment and footwear required (paid for by employer).

·         Considerable walking required.

·         Bending and lifting heavy packages on a regular basis required.

·         Some local travel required.

·         Weekend and evening work may be required as part of functional duties.
