Location: London Salary: $16.00 per hour


Provide coverage for the Receptionist for all coffee, meal, and washroom breaks as required. 

Note: Reception coffee and meal breaks are rotated for both employees to ensure equal access to common break periods.

Working closely with THQ Fleet Office, coordinate the commercial vehicle (CVOR) file for the division.  This includes maintaining appropriate vehicle and driver files, insuring ministry units have completed the proper inspections and training and providing CVOR support for ministry unit leaders

Maintain the ONG Division vehicle fleet files and assist with Element Management fleet matters.

Maintain all vehicle and property insurance files for the division.  Follow up with ministry units regarding claims and reporting of incidents.

Daily opening of all mail, with the Administrative Assistant to the Divisional Area Commanders/Divisional Youth Department or designate and distribution within office.  Processing and delivery of all outgoing mail and UPS courier packages as per weekly schedule. 

Ensure that the postage meter is stocked; there is an adequate supply of courier envelopes/materials on hand and to check all outgoing mail for accuracy of distribution.

Order and maintain all stationery supplies.  The Office Assistant will ensure that both photocopy rooms are stocked and kept orderly.

The Office Assistant will receive all deliveries to ensure accuracy and safekeeping, deliver packages to the appropriate person and contact the Office Manager for large or heavy items.

Purchase and maintain the staff lunchroom, main floor kitchenette and ground floor conference room supplies. Both areas to be kept neat and tidy.

File and maintain the central filing system as well as the archive files.

Coordinate annual shredding of all confidential archived files as requested.

Perform other position related duties as required.



Completed Secondary School and specialized post-secondary courses in Administrative Support or other relevant field

Minimum of one (1) year of prior related experience focused on providing administrative support services.

Knowledge and experience working with vehicle, property and insurance processing would be a definite asset. 

Experience and knowledge as it relates to insurance processing would be an asset.

Self-motivated and disciplined

Strong oral and written communication skills

Have the ability to handle all calls and queries from the public with tact and diplomacy. 

Must be able to maintain professional demeanour at all times.

Ability to maintain a high level of accuracy and confidentiality

Attention to detail, problem solving and analytical skills

Very effective organizational skills with the ability to multi-task with frequent interruptions, complete assignments and meet deadlines with minimal supervision 

Excellent time management and people skills; ability to prioritize work

Ability to lift/move 10 lbs.

Must have strong skills and experience using word processing (WORD); spread sheet use (EXCEL); proficient in typing/keyboarding

Demonstrated experience with Microsoft Word and Microsoft Excel. 

Familiarity with fax machines and photocopiers

Support for and an understanding of the mission and purpose of The Salvation Army in Canada.

NOTE: Alternative combinations of education and experience may be considered


This is a temporary full time position based on 25 hours per week for up to six (6) months.  Schedule may vary according to requirements of responsibilities.  The normal hours of work are 9:30 a.m. to 3:00 p.m., Monday to Friday and include a ½-unpaid meal break. 


Either party may terminate this temporary employment contract for any reason and at any time by providing the other with one (1) weeks written notice.
