WE is seeking a Trips Coordinator to join the Corporate and Family Trips Team to take ownership of trip logistics and coordination for ME to WE’s adult, family, and corporate travelers. The Corporate and Family Trips Coordinator works to build high touch relationships with guests and ensures they are informed, excited, and honored throughout the pre and post trip process. The successful candidate will exhibit consistency, attention to detail and professionalism in all elements of their work and when liaising with all stakeholders.

The position is based out of WE’s office in Toronto.
 
Your Impacts:
 
Client Management/Relationship Building

  • Engage future travelers with ME to WE and WE Charity prior to their trip and get them excited about our projects on the ground that they’ll experience first hand.
  • Support the Engagement team by maintaining utmost care for high value stakeholders, with the flawless delivery of trip fulfillment.
  • Establish customer satisfaction and loyalty with our existing clients through post-trip follow up, supporting travelers through continued engagement with ME to WE and WE Charity, and seeking referrals for future trips engagement.
  • Support the Corporate and Family Engagement team in presentations, pre-departure sessions and information nights, pitching volunteer trips to new and existing adult, family and corporate clients.

 
Trip Fulfillment

  • Execute on all trip operations following the sale of trip: i.e. confirmation of bookings, processing payments, obtaining registration paperwork from trip participants, etc.
  • Ability to create, manage and coordinate a high volume of tailored and customized itineraries which include destinations outside of the standard Corporate & Family experience.
  • Ensure that all traveler’s trip requirements are taken care of in a timely matter, deadlines are met, and questions are answered. Developing professional and trusted relationships with stakeholders.
  • Support the Corporate and Family Engagement team by tracking deadlines and logistics for trips and departures, including setting up reminders, flagging key dates for payments, and tracking departing and returning trips.

 
Operations and Systems

  • Update and utilize client management and other software and systems with consistency and accuracy, mainly Salesforce.
  • General administrative duties and data collection for inputting to client files and special projects.
  • Attend WE Day, host events, and speaking engagements for the purpose of networking and promoting ME to WE Trips, generating interest and prospects.
  • Support with the set up and delivery of client events and information sessions.

 
What you bring:

  • Previous experience in the travel industry or in a position providing client care and/or customer service.
  • Successful completion of a Bachelor degree in a related field.
  • Excellent organizational skills with high attention to detail.
  • Excellent oral and written communications skills and demonstrated professionalism.
  • Strong relationship building skills in internal and external relations.
  • Proven ability to problem solve and multi-task during high-stress situations.
  • Sound judgment, decision-making and analytical skills.
  • Able to prioritize, time-manage and multi-task in a demanding and fast-paced work environment.
  • Experience working with basic word processing (e.g., Microsoft Word, Microsoft Excel) and CRM systems.
  • Must be eligible to work in Canada.
