Wood’s Homes is a multi-service, non-profit children’s mental health centre based in Calgary. Our over 550 staff and volunteers help provide 35 programs and services for 28,000 children and their families each year in Calgary, Lethbridge, Canmore, Strathmore, Fort McMurray and Fort Smith, N.W.T.

Wood’s Homes is seeking an Executive Assistant to the CEO (Parkdale Campus location). Reporting to the Chief Executive Officer and the Director of Operations, the Executive Assistant supports the CEO, Senior Management, coordinates and manages some Administrative Support Services personnel and is the Secretary to the Board of Directors.


Responsibilities include but are not limited to:

  • Provides individual support and assistance to the CEO and maintains CEO’s calendar efficiently and effectively
  • Supervises designated administrative support positions including interviewing and training
  • Works collaboratively with the CEO and Senior Management updating the Policy and Procedures manual
  • Makes arrangements for travel, accommodations, meetings and functions for the CEO
  • Arranges for and records appointments and meeting times, handles telephone communication and screening for the CEO
  • Provides administrative support for Senior Management as required and back up support for administrative functions when needed
  • Performs general and confidential administrative functions
  • Interfaces with Wood’s Homes Foundation’s administrative support staff
  • Sits on various committees when required to do so
  • Provides support to the Accreditation Coordinator every four years
  • Reports, minutes and related documentation delivered in professional and timely manner
  • Able to manage complex and multilayered governance/operations relationships


Board of Director Responsibilities:

  • Is the access point for Board contact and information
  • Keeps the Wood’s Homes and Wood's Homes Society Boards of Director’s meeting Minute Books up to date and assists with the filing of the yearly annual returns with Corporate Registry
  • Responsible for updating the Board access point on the website
  • Responsible for custody of the Minute Book and the corporate seal
  • Keeps Intervention and Police Checks up to date for Board members
  • Ensures Board and Committee members’ hard copy files are up-to-date will all required documents for membership
  • Updates and creates profile for all board and committee members on Raiser’s Edge
  • Coordinates and organizes all Wood’s Homes and Wood’s Homes Society board meetings and events
  • Makes connections with all board and committee members in order to assist the board to run This may include working with other Executive Assistants for scheduling purposes.
  • Prepares agendas, attends and takes minutes for the Executive Committee, the Governance and Nominating Committee, and other committees of the board as required
  • Organizes retreats (management and board), AGM and other events as needed
  • Provides oversight for the administrative functions for all three Wood’s Homes Boards of
  • Board material created and distributed on time
  • Ensures that the Wood’s Board Manual and other board items are kept current
  • Ensures good communication between Senior Management, the Wood’s Homes and Wood’s Homes Society Boards, the Wood’s Homes Foundation Board and Administrative staff
  • Performs other duties as assigned



  • Degree or diploma in administration/legal assistant/office management or equivalent
  • Extensive experience in a senior administrative position, including the supervision of staff
  • Excellent information technology skills including a strong understanding of Word, Excel, and Power Point
  • Webpage creation and management along with Raiser’s Edge experience is considered an asset
  • Excellent organizational and interpersonal skills
  • Personal Suitability is an important consideration.
