POSITION SUMMARY

Reporting to the Development Services Manager, the Donor Relations Assistant is responsible for activities relating to customer service, donation processing, data entry, report preparation, research, and accounting and at times, special assignments. The candidate must have excellent communication and customer service skills as part of the position requires interaction with donors. Candidates should possess excellent organizational skills and strong attention to detail. This position requires an employee to be task oriented, work under pressure, meet deadlines and work as a team member. The successful candidate must provide fast and accurate data entry as well as maintain current database and reports

 

MAJOR DUTIES AND RESPONSIBILITIES

  • Mail clerk
  • Sort incoming and outgoing mail;
  • Data entry
  • Process and input donations into database system in an accurate and timely manner;
  • Issue and mail donation tax receipts;
  • Assist in database maintenance and maintain donor data file integrity;
  • Donor telephone support
  • Answer and return donor calls and inquiries;
  • Provide professional and courteous information and process donor telephone requests;
  • Fulfill Annual Giving Stewardship requirements
  • Thank you calls and other related tasks;
  • Other tasks as directed by the Development Services Manager.

 

MINIMUM QUALIFICATIONS AND SKILLS

  • Grade 12 Diploma
  • Experience in a busy work environment
  • Minimum 2 years’ office and data entry experience is ideal
  • Customer services skills considered an asset
  • Excellent verbal communication skills required
  • Strong computer skills with considerable experience in MS office
  • A team player, comfortable working in a fast paced environment is essential
  • Strong organizational skills and proven attention to detail is essential
  • Good arithmetic skills and proven experience in a clerical/administrative capacity
  • Able to work well with a team
  • Must be quick and efficient and able to multi task

OTHER INFORMATION

  • The office is generally busy and loud over Christmas, so the ability to work in that environment is an asset.
  • The mental effort over Christmas can be anywhere from moderate to extreme depending on the amount of mail received or the number of issues arising on any particular day.
  • Open office environment.
  • The job includes minimal physical effort with sitting at a desk most of the time, while moving of boxes and supplies may be requested.
  • A concentrated mental effort is required at all times to maintain accuracy standards.
  • Employment Security Check is required
