Executive Assistant


The New Brunswick Association for Community Living (NBACL) is looking for a self-motivated, confident experienced professional to fill a maternity leave in the position of Executive Assistant.  Reporting directly to the Executive Director, the Executive Assistant will act as their primary point of contact and provide daily executive administrative support to several senior staff members and the NBACL Board of Directors. The successful candidate will enjoy taking initiative in daily responsibilities and will be a key member of the NBACL Administrative support team, responsible for various support functions involving new and existing fund development events. Interested candidates must have a proven track record of teamwork with a strong administrative background.  The Executive Assistant position, located in Fredericton, is a 37.5 hour/week maternity leave contract position.


Roles and responsibilities will include:

  • Coordinating and scheduling meetings for the Executive Director;
  • Answering the telephone, meet and greet key stakeholders, filter incoming calls, and distribute accordingly;
  • Completing follow-up calls with tour guests, interested volunteers, current and potential donors;
  • Prepare and distribute resources for information tours, board meetings and committee meetings as required;
  • Book travel arrangements for senior staff, volunteers and board members;
  • Organizing and complete arrangements for conference calls, committee meetings, including preparation and distribution of agendas, minutes, documents.


Qualifications and education requirements:

  • Post-secondary education;
  • Minimum 3 to 5 years’ experience in administrative service and management;
  • Strong computer skills and demonstrated proficiency with all Microsoft Office applications;
  • Strong proficiency with database applications (fundraising database will be considered an asset);
  • Valid driver’s license and reliable vehicle necessary for daily work related duties and required short errand runs;
  • Criminal Record Check and Vulnerable Persons Check;
  • Bilingualism will be considered an asset.

  • Excellent interpersonal skills necessary to build solid relationships including those with key external partners and stakeholders;
  • Works efficiently in both independent and group settings, juggling multiple tasks or projects simultaneously and maintains flexibility while doing so;
  • Ability to work as part of a positive team in a fast paced environment;
  • Proven confidentiality and professionalism in all communications and situations;
  • Strong attention to detail with exceptional organizational, communication and time management skills.
