POSITION SUMMARY

 

Reporting to the Manager of Marketing, Communications & Brand, the Events Specialist is responsible for the ideation, planning, execution and strategic evaluation of The Mustard Seed’s fundraising and community events taking place in Calgary.  Working as an integral part of a high-functioning Development team, this role requires an ability to work to deadlines, and to take full accountability for project outcomes.  The Events Specialist represents The Mustard Seed at public events and works to build positive relationships with a wide range of internal and external stakeholders.

 

MAJOR DUTIES AND RESPONSIBILITIES

 

  • Manage the planning and execution of the current portfolio of annual fundraising and community events, generating revenue and awareness for The Mustard Seed in Calgary
  • Take ownership of event work-flows, working with the Manager of Marketing, Communications & Brand to delegate event-related responsibilities to other members of the team as required
  • Act at the TMS event resource to develop standard templates and systems and provide solutions for challenges
  • Counsel events coordinators to organize: venues, A/V, décor, catering, entertainment and event logistics
  • Develop project briefs, executive briefings and final reports and Alberta events calendar
  • Collaborate with all TMS locations and event coordinators to monitor and advise by providing strategic input, key brand messaging and guidelines
  • Support the Communications team on the development of communications materials related to events, including invitations, marketing materials, media advisories, photo opportunities, and speaking notes
  • Strategically administer event guest lists, registration processes and data capture
  • Coordinate the effective use of volunteers for events, including identifying roles, writing job descriptions, interviewing and selecting volunteers (where appropriate), training and overseeing event volunteers, and following up with appropriate recognition and appreciation
  • Manage/direct the development, implementation, strategy and leadership of third party events, including the recruitment and assistance of host fundraisers
  • Create, prepare and distribute meeting agendas and minutes with supporting documents
  • Prepare and monitor budgets and expenses and provide progress reports to management
  • Provide input on stewardship strategies to ensure seamless transition between fundraising events and stewardship activities, working closely with the Development staff
  • Conduct market research, gather information and negotiate contracts with suppliers
  • Represent The Mustard Seed at external community events, local trade shows, and church functions

 

MINIMUM QUALIFICATIONS AND SKILLS

 

  • A goal-oriented individual with a passion to help end homelessness in Alberta
  • Postsecondary education diploma or degree in a related field (equivalent combinations of education and experience may be considered)
  • Minimum 3 years’ experience in either events, project management or external relations – experience working in the non-profit sector is an asset
  • First-class customer service focus serving clients, staff, volunteers and stakeholders – always looking for ways to surprise, improve, and maximize opportunities
  • Energetic self-starter who can work independently or as part of a high-functioning team
  • Enjoy managing multiple competing priorities and adhering to stringent deadlines
  • Team player, able to calmly manage high-stress situations with a calm demeanor
  • Excellent English written and oral communication skills
  • Creativity, initiative and sound judgment with a keen attention to detail
  • Dogmatic about data capture, metrics and use of technology to improve processes and efficiencies
  • Knowledge of fundraising donation platforms
  • Some public speaking experience, as well as preparing sensitive correspondence
  • Proficiency using MS Outlook, Word, Excel and PowerPoint and CMS databases
  • A valid Alberta Driver’s License is required (own vehicle is preferred but not required)

 

OTHER INFORMATION

 

  • Full-time, 40 hours per week. Ability to maintain a flexible schedule to accommodate evening and weekend events
  • Primarily an indoor office environment, with frequent opportunities to attend meetings and events around the city
  • Level of mental effort with this position varies significantly based on the time of year. When events are approaching, a high level of focus and mental acuity is required
  • An employment Security Check is required
  • As The Mustard Seed is a Christian ministry, we require our employees to be in agreement and to sign our statement of faith
  • Must have legal authorization to work in Canada on a full-time basis for anyone other than current employer

 

Start date: Immediate
