REPORTS TO: Executive Director, Valley Restorative Justice

 

RESPONSIBLE TO: The Administrative Assistant is responsible for office duties related to all staff members of Valley Restorative Justice.

 

AREAS OF RESPONSIBILITY

 

OFFICE ADMINISTRATION:

  1. Ensures that office supplies are procured
  2. Answers phones, transfers calls and receives messages
  3. Responds to requests for information from justice system personnel, community and public
  4. Schedules appointments, if necessary
  5. Sends and receives mail and distributes appropriately
  6. Edits/proofreads office correspondence
  7. Liaises with a wide variety of Government and community agencies, including police, Crown Prosecutors, Court staff, Judges, Victim Services and Probation staff, among others
  8. Prepares files for destruction
  9. Prepares newsletters and posts to Facebook page, in co-operation with others
  10. Offers computer assistance to staff, as needed

INFORMATION SYSTEM AND RECORDS:

  1. Inputs all Restorative Justice referrals into RJIS (Restorative Justice Information System)
  2. Ensures files are given to applicable caseworker
  3. Maintains up-to-date telephone/email/mailing lists for staff, Board of Directors, volunteers, justice system personnel, etc.
  4. Maintains filing system

RESTORATIVE JUSTICE PROGRAM:

  1. Receives RJ referrals
  2. Records RJ referrals on database and manually
  3. Prepares files for caseworkers
  4. Sends initial correspondence to clients
  5. Sends correspondence to clients in relation to a referral, as per instruction from the caseworker

COMMUNITY SERVICE ORDER PROGRAM:

  1. Receives CSO referrals
  2. Records CSO files manually
  3. Prepares files for caseworkers
  4. Sends correspondence to clients in relation to a referral, as per instruction from the caseworker

 

BOARD OF DIRECTORS:

  1. Prepares and distributes Board minutes, as directed
  2. Offers computer assistance to Board members, as needed

EMPLOYMENT AND WORKING CONDITIONS:

 

The normal working hours of employment will be 20 hours per week (17.5 hours/week with one half hour lunch break daily) exclusive of statutory holidays and earned vacation time.

 

JOB QUALIFICATIONS:

 

Essential:            

  1. Completion of a recognized office administration/business program
  2. Proficiency in basic office procedures, including reception duties, filing, and record-keeping
  3. Ability to use basic office equipment, including fax, telephone, photocopier, postage meter and computer
  4. Excellent written and verbal communication skills
  5. Demonstrated experience working with volunteers
  6. Comprehensive knowledge of the Microsoft Office Suite
  7. Willingness to complete Criminal Record, Vulnerable Sector and Child Abuse Registry

The following would be considered an asset:

  • Knowledge of the criminal justice system
  • Competency with basic bookkeeping practices and/or accounting software
