Job Purpose:

The Senior Administrator is responsible for providing support to the Director of Ubuntu in all administrative areas including but not limited to: staff training, development and orientation, IT, phone systems, policy development and maintenanceThe Senior Administrator works closely with the Director of Ubuntu and the Boyle Street operations team to ensure that staff and community members work in a smooth running, safe, and organizationally effective environment.

 

Ubuntu (located at 14023 Victoria Trail) is a program of Boyle Street Community Services in partnership with Bent Arrow Traditional Healing Society, Edmonton Mennonite Centre for Newcomers, Norwood Child and Family Resource Centre, and Terra Centre for Teen Parents (known collectively as the C5).

 

KEY AREAS OF RESPONSIBILITIES:

Administrative Support

  • Provide administrative support to the Director of Ubuntu
  • Monitor program intake and track program enrollment
  • Provide additional administrative support to the senior leadership team at the request of the Director of Ubuntu
  • Provide coverage for the receptionist when required

Operations Support

  • Assist with the development, implementation, management, review, and storage of organizational policies including accreditation standards, occupational health and safety, and human resources
  • Ensure staff trainings and program requirements are kept up to date, achieved within required timelines, and reviewed regularly
  • Coordinate internal staff training and development as needed
  • Support the onboarding and orientation process for new staff
  • Facilitate IT and smartphone infrastructure support with contractors and BSCS staff
  • Research and provide recommendations for effective practices for BSCS related to policies and infrastructure
  • Facilitate relationships and manage contracts/workflow with Janitorial Services, Building Maintenance, Boyle Street Operations Department, and the building owners
  • General tasks required to ensure an effective, safe, and positive work environment

Administration Team Management

  • Supervise administration staff and ensure that the information management responsibilities are carried out in a timely and effective manner

Qualifications:

Education:

  • Post-secondary education or certification in Business, Human Resources, Office Administration, Policy Development, Workplace Training, OHS or other related fields are an asset. Candidates who are without a degree, but have relevant and related experience will also be considered

Skills, Abilities and Attitudes:

  • Ability to work in a fast paced, occasionally noisy, ever changing, often demanding, sometimes traumatizing environment– with children and adults alike — with interruptions and multiple competing demands
  • Ensuring appropriate boundaries, professionalism, and confidentiality
  • Great attention to detail and excellent organizational and time management skills
  • Advanced knowledge of Microsoft Office (Word, Excel, Outlook, Access, Power Point)
  • Ability to communicate effectively and have excellent written and oral communication skills
  • Demonstrates commitment and innovation to their work, initiative and ownership, at times with little direction
  • Able to plan and make decisions in a timely, organized and appropriate manner
  • Able to work effectively as a team as well as independently
  • Flexible and adaptable to change

Experience:

  • At least 5 years’ experience working in a professional administrative role with at least 2 years’ experience of working at a senior level is preferred
  • Experienced with research and development of organizational policies
  • Knowledge of and experience working in the non-profit sector is an asset
  • Knowledge and experience of First Nations, Inuit, and Métis culture is an advantage
  • Criminal Record and Child and Youth Information Systems check are required
