Canada has the highest rate of multiple sclerosis in the world, making MS Canada’s disease. The MS Society of Canada is the country’s leading MS advocate, funding leading research in MS and programs & services that help people live well with the disease.

 

Reporting to the Director, Annual Giving and Donor Relations, the coordinator is responsible for providing donor support through engagement and communications with our donors. The coordinator will represent the MS Society of Canada’s brand, mission and values: perform inbound and outbound call management – providing donor resolution to all inquiries and answer supporter/donor correspondence by both mail and email. This position requires strong interpersonal skills, an excellent focus on details and the confidence to spend time responding to the inquiries of our donors.

 

This is a position of trust. The incumbent will be required to complete the screening process including completion of appropriate background checks in compliance with the MS Society’s National Screening Measures Policy.

 

Key Responsibilities:

  • Responds to supporter/donor inquiries (mail/phone/email)
  • Processes In Memory and In Honor donation and card request
  • Adjusts monthly giving files
  • Processes communications to lapsed monthly and credit card expired donors
  • Executes month donor updates and thank you correspondence
  • Merges records
  • Issues duplicate tax receipts
  • Processes one-time gift as required
  • Creates, updates and maintains documentation for donor correspondence (letters/receipts and emails)
  • Provides monthly call tracking reports to senior team members
  • Monitors donor call centre
  • Processes and investigates daily exception package – coordinating with other departments
  • Maintains a 48 hour follow up rule for all donor inquiries
  • Responsible for data entry from donor satisfaction surveys
  • Provides reception backup when required which requires you to:
    • Politely and courteously answers all in-coming telephone calls and re-direct to appropriate destination 
    • Transfer voicemail messages to various staff, return caller messages and handle general inquiries 
    • Greet and direct all visitors in a polite and professional manner and contact appropriate staff  
    • Receive and re-direct (where required) general email queries received through the organization’s e-mail address 
  • Other duties as assigned

 

Qualifications:

  • Post-secondary education with at least 2-3 years’ experience, in a customer service, donor relations, or call centre role or the equivalent education and experience
  • Fluency in both English and French (spoken & written) would be an asset
  • Experience working with a fundraising database would be considered an asset. 
  • experience in a not-for-profit setting would be considered an asset.
  • Ability to meet the highest level of customer satisfaction through attention to detail and intuitive engagement of those we serve.
  • Ability to work independently in a fast-paced, high volume environment
  • Strong problem solving ability to effectively provide donors with personalized solutions
  • Outstanding telephone manner, with excellent verbal and written communication skills
  • Ability to maintain confidentiality and use sound judgment always. 
  • Has excellent organizational skills and ability to prioritize effectively. 
  • Demonstrated skills in Windows programs (Word/Excel/Powerpoint and Outlook) and a knowledge of database programs. 
  • Ability to manage multiple assignments with various timelines 
  • Ability to work collaborate with others in a team environment 
  • Willingness to volunteer/participate at special fundraising events.
