Job Title:             Program Assistant (21 hours/week)

 

Job Summary:

 

Reporting to the  Coordinator,  BEST  Program,  the  Program  Assistant will  have a  two-fold function: Program Assistant and Mega Job Fair & Business EXPO (MJF) support.

Program Assistant:

Responsible for supporting and assisting the BEST Program team and provide administrative and operational support to the `Program Administrator’. Also, offers resources and support to BEST Program clients.  The Program  Assistant is a self- motivated, accountable and independent person. 

 

Mega Job Fair & Business EXPO Support:

 

Primarily be responsible for helping the `MJF Coordinator` in the planning, development, and implementation of the annual events in Surrey and Vancouver.

 

Duties and Responsibilities:

  • Participate in BEST Program related development meetings, training, and events;
  • Assist in  coordinating  workshops,  speakers,  training  curriculum,  and  mentorship opportunities for participants;
  • Assist in tracking funding and budget allocations;
  • Assist in developing and implementing intake and reporting mechanisms including feedback forms, participant surveys, and self-assessments at various stages of the program;
  • Prepare internal and external reports with respect to the program;
  • Prepare and maintain up-to-date contact databases;
  • Manage ‘Business  Development  Centre’;  ensure  all  resources  in  the  Centre  are maintained, current and accessible; keep inventory of all resources;
  • Maintain inventory and order office supplies and resources for the program as needed;
  • Maintain general office area and equipment as well as classroom/client area;
  • Participate in program promotion, marketing, and outreach activities, as needed;
  • Scheduling meetings, organizing data and gathering information;
  • Coordinate with the research and planning for the ‘Mega Job Fair & Business EXPO`;
  • Develop and update marketing planning documents for MJF;
  • Set-up and attend all planning meetings with internal/external staff;
  • Perform other related duties as assigned from time to

Required Skills:

  • You have an entrepreneurial personality and demonstrated business professionalism to help entrepreneurs;
  • Basic understanding    of    the     social    economy,      social     enterprises, and social entrepreneurship, particularly within the British Columbia
  • Respect for confidentiality and appropriate handling of sensitive information required;
  • Demonstrated ability  to  take  initiative,  maximize  productivity  and  work  with  limited supervision;
  • Excellent organizational and project management skills;
  • Proven ability to proactively manage budgets and work with internal departments to plan and track expenditures;
  • Strong organizational, time management, written and oral communication skills;
  • Strong interpersonal skills and demonstrated ability to work with diverse clients and community partners;
  • Advanced computer skills and ability to trouble shoot problems with equipment and technology;
  • Experience planning workshops, conferences, and other related events;
  • Comfortable in meeting client customer expectations and providing innovative, impactful and timely solutions;
  • Fluent in  Microsoft  office  suite,  including  Word,  Excel,  Publisher,  Power   Photoshop preferred
  • Experience designing  marketing  materials  including  online,  print,  radio  and  TV

Qualifications:

  • Graduate of a Diploma or a Certificate Program from an accredited college and/or university in Business Administration, Marketing;
  • Minimum 3 years’ work experience in the field of entrepreneurship, event management or a suitable combination of education, training, experience, and certification;
  • Fluency in English (written, spoken) is mandatory and fluency in a second language is desirable;
  • A valid driver’s license and access to suitable vehicle is
