Job Description

 

SHIP (Services and Housing In the Province) is a Health Service Provider for specialized populations with numerous programs and partnerships. We are seeking an energetic, enthusiastic individual to fill the following position:

 

Title:  Receptionist/Administrative Assistant, Bilingual (English/French)

Reports To:  Office Services Coordinator

 

Responsibilities:

  • Answering and directing incoming telephone calls in a professional manner
  • Reserving and setting up meeting rooms as required
  • Greeting external visitors and clients
  • Processing, receiving and distributing courier packages, mail and faxes
  • Organizing the reception desk and ensuring all information is current
  • Providing training to other staff on all reception area duties
  • Receiving and processing requests for various office supplies
  • Maintaining the approved on-site inventory list
  • Providing technical support and training on office equipment to staff
  • Providing administrative support to the Office Coordinator, Executive Assistant and other departments as required
  • Maintaining confidentiality of information
  • Planning and assisting with the execution of special events
  • Creating flyers, newsletter and invitations as required
  • Updating and maintaining directories, files, spreadsheets and resources
  • Performs other duties as assigned
  • Responsible for client safety 

Qualifications:

  • Diploma in Office Administration or related field with at least 2 years of experience in an administrative capacity.
  • Must have proficiency in French Language (75% of job duties will be in English, 25% in French)
  • Strong working knowledge of MS Office products including Outlook, Word, PowerPoint and Excel
  • Possession of valid Ontario’s Class “G” Drivers License and access to a personal vehicle preferred
  • Ability to interact in a professional and friendly manner
  • Strong customer service orientation
  • Experience with general office protocols and procedures
  • Ability to take initiative and easily adapt to change in a fast paced office environment
  • Experience working with people with mental illness
  • Excellent analytical, organizational and time management skills
  • Ability to handle difficult situations with tact, sensitivity and professionalism
  • Disciplined and punctual of time
  • Meticulous attention to detail
  • Ability to work independently and as part of a team
  • Excellent verbal and written communication skills (in English and French)
  • Previous experience working in a non-profit agency is an asset


This is Full time non bargaining unit position working 37.5 hours a week.
