OVERVIEW
The 2019 Canada Winter Games Red Deer Host Society is looking to fill the position of Coordinator, Volunteers.


In less than two years, thousands of our country’s best and brightest will set their sights on Red Deer as we host the 2019 Canada Winter Games. Up to 3,600 participants from across Canada, 400 media, 500 VIPs, 500 officials and thousands of visitors will join us for the two-week event. Featuring 19 sports and a major arts and cultural festival, the 2019 Canada Games will be the largest event in Red Deer’s history.

 

The Coordinator, Volunteers will contribute to the mission of delivering a life-shaping Games experience by working closely with both divisional volunteers and staff to develop strategies and deliver services related to attracting, recruiting, engaging, retaining, orienting and recognizing the more than 5,000 volunteers who will be required to support the planning and delivery of the 2019 Canada Winter Games.

 

DUTIES AND RESPONSIBILITIES

This role will be responsible for, but not limited to, the following:

  • Consult with staff and volunteer committees across the Host Society to support the development and implementation of comprehensive strategies and plans to address areas such as volunteer recruitment, screening, selection, registration, orientation, training, and recognition.
  • Consult with divisional staff and volunteer committees across the Host Society to create profiles and descriptions for all volunteer roles.
  • Work with all functional areas with Games Time operations to review dot plans, create efficiencies and volunteer headcounts.
  • Coordinate the development of policies related to volunteer management, conducting research and analysis and delivering sound recommendations.
  • Coordinate the volunteer registration process, including the volunteer database(s)
  • Coordinate and participate in community outreach activities, to attract and recruit volunteers.
  • Respond to inquiries from volunteer applicants and potential applicants.
  • Develop and coordinate volunteer training, orientation and recognition activities.
  • Create training templates in varying formats.  
  • Supervise and assist with the running of the Volunteer Centre.
  • Managing data entry and reporting through the Games management system.
  • Help to coordinate a database of volunteers and track metrics.
  • Managing the online volunteer registration and scheduling process through the Games management system.
  • Liaise with volunteer committee to monitor and report on progress related to attracting, recruiting, orientating, and recognition of volunteers.
  • Coordinate and support volunteer committee meetings, including booking meeting space, creating agendas, taking notes etc.

 

REQUIRED SKILLS, EXPERIENCES AND ABILITIES

  • An undergraduate degree or diploma in human resources, psychology, community development, event planning, sport management or other related fields.
  • Two (2) or more years of related experience in volunteer coordination, recruitment and training, community outreach or working with volunteer committees. A combined equivalent of education and experience may be considered.
  • Strong organizational, administration, planning and presentation skills.
  • Excellent communication skills, written and oral, in English is required and fluency in French is an asset.
  • Experience with Google’s G Suite programs, Gmail, Docs, Slides, Calendar, etc. (or equivalent Microsoft Office programs) is required.
  • Demonstrated ability to set priorities and manage multiple projects and tasks.
  • Ability to work in a team environment where duties and reporting levels are shared.
  • Knowledge and experience working in a not-for-profit, events, sports or multi-sport Games environment is an asset.

 

NOTE

  • Formal office hours are Monday to Friday, 8 a.m. until 4:30 p.m.; however, flexibility will be required. This may include various evening/weekend committee work, varying workload/ deadlines, Games time requirements, etc.
