Position description

 

The BCRPA Event Relations Coordinator will manage the relationships between BCRPA and its sponsors, exhibitors, and advertisers to support the prosperity of BCRPA’s endeavours. This is a new full-time staff position.

 

The Event Relations Coordinator is an energetic connector who fosters strong relations between BCRPA and those who financially support our professional development initiatives: four conferences, educational endeavours, and our two publications. This role ensures the interests of funders (sponsors, exhibitors, suppliers, donors, and advertisers) are met and fosters their strong connection to BCRPA, and contributes to the work of the professional development department.

 

The Event Relations Coordinator creates and implements the strategic approach to generating revenue that contributes to the success of its educational events, and to the exceptional service provided to funders. Revenue partnerships include exhibitors, sponsors, advertisers, donors, granting agencies, and others.  From solicitation of new and returning funders, through stewardship and recognition, to on-site event management of sponsors and vendors, the Event Relations Coordinator will ensure strong revenues and will deepen relationships.

 

The position is responsible for recording monitoring and managing these funding partner relationships, expanding our current number of funders, assisting with event management as it relates to these funders; formulating policies, procedures and standards governing our relationships with these funders, and supporting the interests of the organization.  Reporting to the Professional Development and Initiatives Manager, and ultimately reporting to the CEO, this full time position will work with all departments to advance the work of BCRPA and provide added value to all events we host.

 

Primary Responsibilities

Key priority is to create and lead the revenue development plan and activities to increase revenues to support our strategic priorities.

 

Event Sponsors, Exhibitors, and Tradeshow Management

  • Create an annual revenue development plan with timelines and targets
  • Solicit, secure, maintain, and nurture all aspects of relationship management
  • Initiate and manage all relevant exhibitor, and sponsor communications
  • Prospect and secure new exhibitors and sponsors, and secure payment
  • Recruit sponsors and exhibitors into corporate membership, and manage fulfilment of BCRPA’s commitments as they relate to sponsor/exhibitor entitlements
  • Analyze existing funder benefits, and identify and implement new ways to better serve their needs
  • Monitor and evaluate all revenue activities to ensure revenue goals are being met
  • Maintain an up-to-date detailed records of client documents, agreements, history of engagement with the organization, and detailed notes regarding our relationship with them
  • Organize and manage all details and logistics, including signage and recognition, for conference tradeshows (Symposium, BCFit, Spring Training, Ripple Effects, Youth Leader Conference)
  • Update sponsor and exhibitor prospectus for all events

 

Advance the Prosperity of BCRPA

  • Support the development of the BCRPA strategic/business plans as related to revenue generation and innovative fund development
  • Solicit and coordinate advertisers for BCRPA publications and program initiatives
  • Manager corporate members
  • Provide support to the Managers on projects related to revenue development, including the fostering of collaboration among departments
  • Manage the Gaming Grant application process, the overall financial monitoring of its related projects, and the final reporting of the projects
  • Seek and submit new grant opportunities
  • Foster an understanding among funders of BCRPA’s Purpose and Vision
  • Foster an appreciation of our funders within the organization
  • Contribute to our communications initiatives to market BCRPA’s events
  • Assist in the implementation of events as required

 

Required skills and knowledge

  • University degree or relevant professional certificate, and/or 5 years related experience
  • Experience in relationship management, sales, marketing
  • Drive, persistence, initiative, and motivation from our organization’s purpose
  • A confident connector who is enthused with all aspects of revenue relations
  • Exceptional interpersonal skills; tact and good judgement are essential
  • A team player who seeks to add value to the BCRPA staff dynamic
  • Adept at the sponsor and trade show components of event planning
  • Excellent organizational skills with the ability to set priorities, handle a high work volume, and manage competing deadlines
  • Exceptional written and verbal communication skills
  • Strong computer skills (Microsoft Office Suite) and ability to navigate content data management systems
  • Works collaboratively with partners and responds effectively to their unique priorities and needs
  • Passionate about the power of recreation and parks to enrich individuals and communities.
