Summary

The Human Resources Assistant provides a variety of human resource functions for the agency and is part of the human resources team. The Human Resources Assistant’s main job responsibility are focused on providing support to the Director of Human Resources, the Senior Accountant and the Chief Executive Officer. This position is also responsible for assisting with all HRIS for the agency and occasionally providing back up for the Payroll Administrator. The successful candidate will be responsible for providing administrative support for the department, assisting with the hiring process, scheduling new employee orientations and training and maintaining personnel records. This position is a temporary vacancy until the end of March 31, 2018 and will be reviewed in March with the possibility of an extension. Duties and Responsibilities

 

  • Providing support to the HR department and the Chief Executive Officer
  • Serving as a point of contact with benefit vendors/administrators
  • Maintaining computer system by updating and entering data
  • Setting appointments and arranging meetings
  • Maintaining calendars of HR management team
  • Compiling reports and spreadsheets and preparing spreadsheets
  • Assist with posting job ads and organizing resumes and job applications
  • Ensuring background and reference checks are completed
  • Preparing new employee files
  • Assisting with the completion of benefit enrollments and terminations
  • Assist with orienting and training new employees to the organization
  • Processing payroll, which includes ensuring vacation and sick time are tracked in the system
  • Answering payroll questions
  • Facilitating resolutions to any payroll errors
  • Maintaining current personnel files and HRIS databases
  • Fax, photocopy and scan documents as required.
  • Updating and maintaining employee benefits, employment status, and similar records
  • Performing file audits to ensure that all required employee documentation is collected and maintained
  • Assist with payroll/benefit-related reconciliations
  • Assisting with completing ROE
  • Completing termination paperwork and assisting with exit interviews
  • Eliminate unnecessary or outdated materials, destroying them or transferring them to inactive storage according to file maintenance / legal guidelines.
  • Assist with claims, insurance inquiries and disability management
  • Perform other duties as required

 

Knowledge, training, experience, and skills will include:

 

  • Must be adept at problem-solving, including being able to identify issues and resolve programs in a timely manner
  • Must possess strong interpersonal skills
  • Must be able to communicate clearly, both written and orally, as to communicate with employees, members of the HR management team, and in group presentations and meetings
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Must be able to prioritize and plan work activities as to use time efficiently
  • Must be organized, accurate, thorough, and able to monitor work for quality
  • Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback

 

Education/Qualifications

 

  • Post-Secondary Degree or Diploma in Human Resources or a related field.
  • CHRP designation or actively working towards the Designation.
  • Familiarity with accounting software, spreadsheets and word processing
  • Experience as a Human Resources Assistant preferred.
  • Excellent written and verbal skills and comprehension.
  • Excellent time management skills.
  • Highly organized.

 

Working Conditions/Special Requirements

 

  • Able to work flexible hours. May involve evening and weekend work.
  • Operates out of the Vancouver head office
  • Criminal record check prior to employment, and subject to regular review
  • This is a non-union position
  • Up-to date membership in relevant professional association or societies

 

 

Start Date:            As soon as possible

Position Type:      Temporary Vacancy, Part time, 21 hours per week

Timeline:               Until March 31, 2018 with possibility of extension

Reports to:            Director of Human Resources

Location:               Vancouver

Union:                   This is a non-union position

Benefits:               Benefits package based on eligibility
