Position Description: Executive Administrator


The Elizabeth Fry Society of Edmonton has an immediate opportunity for an organized and efficient Executive Administrator whose portfolio will enhance overall organizational effectiveness. This is a multi-faceted role with responsibility for organizing and managing deliverables as well as providing administrative guidance and support.  The position reports directly to the Executive Director and has regular interaction with the Management team, Board of directors, and key agency stakeholders.


  1. Support for the Executive Director

The ideal candidate will be highly organized and will effectively support the work of the Executive Director by exercising the highest standards of judgment, ethics, confidentiality, discretion, professionalism and productivity.

  • Organize email communication and office calendars, scheduling and meetings.
  • Assist with proposal research, preparation and fund development.
  • Draft accurate and appropriate correspondence and communication.
    Perform online research on best practices, trends, and studies and present as executive summary or proposal as needed.
  • Participate in and/or facilitate meetings, and document discussions, agreements, actions, timeframes, status intervals and proactively follow-up to completion.
  • Assist with new staff hiring, orientation and evaluation as needed
  • Manage travel arrangements as required
  • Present a professional image and represent the ED and/or Agency as required.
  • Model a strong work ethic through quality of work product; responsiveness, following-through on commitments, being reliable and dependable and sustaining an exceptional record of performance, attendance and punctuality.
  • Other duties as required.
  1. Support for the Finance and Operations Manager
  • Assist with filing, sorting, organizing and storage of records
  • Bank deposits and securing cheque signatures as needed
  • Assist with bookkeeping and financial reporting as needed
  • File and compile all human resources files and documents
  • Trouble shoot IT issues and working with Tech support when needed
  • Maintain confidentiality of all employee and Agency information both internally and externally.
  1. Agency Support and Organization
  2. Communication
  • Prepare for, design and distribute a quarterly agency newsletter for all stakeholders
  • Prepare for and develop our Annual Report for all stakeholders
  • Assist with social media messaging and communications
  • Write minutes for all staff meetings and other meetings as necessary. Track action items and assist with timely follow-up
  • Draft Press Releases and briefings on relevant topics in advance of media interviews and events.
  1. Operations and Office Management
  • Submit building and maintenance work orders; liaise with building management and vendors as needed.
  • Keep supplies stocked and place orders as necessary
  • Maintains office equipment, troubleshooting failures, scheduling  preventive maintenance and  calling for repairs as needed  
  • Take a leadership role with change management (RE: impending office move); manage logistics, communications and any other requirements
  • Post for vacant positions, assist with screening and interviewing of applicants as needed.
  • Assist on as-needed basis with office and local errands.
  • Assist in planning and organizing of special events e.g. Annual General Meeting, Fundraising event, Volunteer appreciation and Staff appreciation    
  1. Board of Directors Support
  • Assist with documentation and record keeping; overall organization
  • Provide follow up assistance for committee work


  • Related post-secondary education required.
  • 2-4 years of work experience; 2 years of increasingly responsible experience in administration and/or HR.
  • Advanced proficiency with MS Office (Outlook, PowerPoint, Excel, Word) required.
  • Experience with Change Management, document control, and varying modes of communication.
  • Demonstrated discretion and ability to work with confidential information required.
  • Successful candidate will bring solutions, solve problems and demonstrate critical thinking.
  • Demonstrated success managing multiple projects concurrently, meeting deadlines and producing complete, accurate work and attention to detail required.
  • Self directed; work well independently and as part of a team.

This position is part-time (21 hours per week) for a period of one year with a strong possibility of extension. $19/hour. All agency positions are contingent on agency funds.
