Auberge Shalom pour femmes’ mission is to provide safe shelter, counselling, and advocacy support for women and children affected by conjugal violence as well as to break the cycle of conjugal violence through education, prevention and advocacy. The organization runs a 12-bed shelter as well as an external counselling and resource office and children’s program.

 

SCOPE OF THE POSITION

The Finance & Operations Coordinator will take a lead role in ensuring the accounting and operations of Auberge Shalom pour femmes (ASPF) run smoothly and efficiently so that the objectives and strategic priorities of the organization are met.

 

Reporting to the Executive Director, but working closely with the organization’s Administrative staff and Finance Committee of the Board, the Finance & Operations Coordinator is a key member of the ASPF team with responsibilities for budgeting, accounting and resource mobilization.

 

ROLES AND RESPONSIBILITIES

Budgeting and Accounting 

  • Works with the Executive Director and Finance Committee on drafting and monitoring the annual organizational budget
  • Manages and monitors the organizational budget and overall financial administration, including banking and accounts payable and receivable
  • Ensures accurate records and documentation with respect to all financial transactions of the organization
  • Prepares monthly financial statements, including data on income and deferred uses of income
  • Prepares quarterly budget reports for the ED and Finance Committee including up to date trial balance, P&L statement, cash balances, accruals and amortization spreadsheets
  • Supports year-end audit, adhering to sound financial procedures (including proper filing)
  • Manages government related forms with respect to the organization’s finances and human resources
  • Submits GST/QST remittances
  • Manages Payroll:
    • Maintains records on employee hours, vacations, statutory holidays, personal days, sick days and maternity leaves and enters relevant information to the payroll service provider
    • Manages government forms with respect to payroll including but not limited to ROEs, CSST, maternity leaves, annual T4’s and proper remittances to both the provincial and federal governments
    • Manages and keeps records of medical and pension related benefits and deductions for staff – including managing the relationship with the organization’s insurance broker
    • Manages year-end payroll procedures
    • Supports the ED to prepare annual salary scale proposal for Finance and Personnel committees
    • Assists with the administration of Pay Equity

 

Operations and Resource mobilization

  • Works with other members of the administrative team to establish and adhere to best practices in the financial administration of the Counselling and Resource Office and Shelter
  • Assists in the development and tracking of funding proposals, grant and donor budgets
  • Tracks funder contract requirements and timelines and supports the development of reporting documents
  • Manages the accounting side of fundraising including but not limited to ensuring accurate processing (depositing, receipting, reporting on and thanking) of donations
  • Maintains appropriate records and relationship management using Donor Perfect

 

Depending on qualifications and experience, the Financial and Operations Coordinator may be able to fulfill her role in a 3 to 3.5 day workweek.  


QUALIFICATIONS AND EXPERIENCE

The successful candidate will have:  

  • Post-secondary education in accounting and/or finance and/or bookkeeping
  • At least 3 years work experience with demonstrated acumen in developing, managing and monitoring detailed operational budgets – preferably in the non-profit sector
  • Knowledge and experience with financial planning, accounting and payroll preferably using Sage and Ceridian
  • Knowledge of current HR related regulations and legislations in Quebec (Normes du travail)
  • Proven ability to coordinate and monitor multiple deliverables, meet deadlines and prioritize competing tasks
  • Strong problem solving abilities – approaches challenges with creativity and reliability
  • Excellent relationship building and written and verbal English and French communication skills, including outstanding phone and in-person presentation manner
  • Good judgment, sensitivity and attention to communication style
  • Ability to work with minimal supervision but knows when to ask questions and enjoys working closely with others, in a collaborative fashion
  • Demonstrates extreme sensitivity to confidentiality, security and privacy issues
  • Comfortable with various accounting and administrative tools and online technologies and/or ability to learn new tools quickly with little supervision
  • Strong organizational skills and keen attention to detail
  • Passion for women’s rights generally and sensitivity to the issue of conjugal violence in particular
