Due to an internal promotion, we are seeking an energetic and experienced fundraising administrative professional to join our Major Gifts team. The Philanthropy Assistant requires excellent interpersonal skills, a keen eye to detail and a passion for building and maintaining working relationships and meeting team objectives.


In this role, the Philanthropy Assistant will provide a wide range of administrative support and will serve as an ambassador for BCCHF both within the hospital and larger community, consistently and convincingly demonstrating the role and importance of philanthropic support in advancing pediatric healthcare and research at BC Children’s Hospital.


The position will provide support to two Major Gifts Officers and is responsible for assisting them in advancing their efforts to sustain and deepen prospective and current donors’ commitment to the hospital’s highest priorities.  The incumbent also coordinates projects and activities associated with the Officers’ respective portfolios, often acting as the first point of contact and delivering high-level service to donors, partners, and stakeholders.


More specifically, the Philanthropy Assistant will be responsible for:


  • Administrative Support: Provide a wide-range of administrative support to two Major Gifts Officers, including scheduling meetings and tours, preparing correspondence and reports, generating and reviewing mailing lists, preparing packages, gift processing, setting up funds, and maintaining accurate donor records. They will also actively participate in fundraising activities, including tours, cultivation events, and gift announcements as required.
  • Relationship Management: Working closely with the Philanthropy Officers, deliver exceptional service to donors as well as key internal and external stakeholder groups, including hospital partners and senior volunteers, while respecting confidentiality in all matters.  Ensure personal acknowledgment of gifts and prepare, in collaboration with the donor relations team and under the guidance of the Philanthropy Officers, personalized impact reports to major gift donors. 
  • Prospect Development: Assist in the development of fundraising materials, including gift proposals, meeting materials and letters of inquiry.  The Philanthropy Assistant will plan key donor cultivation events and activities related to the Major Gifts Officers’ portfolios. 




As the successful candidate, you have a diploma or post-secondary degree in a related field (e.g., business, fundraising, and administration) and three years of administration experience, with a minimum of two years’ experience in a fundraising environment or the equivalent combination of related skills and experience. In addition to the qualifications, our ideal candidate has:


  • Highly developed communication skills, with an ability to draft, proof, and edit a range of written materials
  • Experience organizing events
  • Advanced computer literacy skills with Microsoft Office applications applied to the preparation of documents and with databases, Raiser’s Edge experience is an asset
  • Ability to efficiently organize and manage a diverse range of assignments while meeting multiple deadlines, along with thorough attention to all details and consistent with follow through
  • Resourcefulness and independence, while remaining comfortable working within the framework of a collaborative, team-oriented environment
  • Ability to handle sensitive and confidential information appropriately and with discretion
  • A flexible schedule with allows for multiple after-hours events and meetings
