Administrative Assistant, Volunteer & Support Services – Vancouver

Six (6) Month Temporary Part-Time (.6 FTE) (with potential extension)

Reporting to the Director, Volunteer & Support Services, the Administrative Assistant is responsible for the day to day administrative duties of the Volunteer & Support Services Department, working collaboratively with the Coordinator and Director to ensure the effective organization and service delivery of Volunteer Services, Food Services and Housekeeping. 

 

RESPONSIBILITIES

  • Provides administrative assistance for the day-to-day operations of the Volunteer & Support Services Department.
  • Assists the Coordinator with printing weekly schedules, communicating shift changes and filling vacant shifts.
  • Responds to volunteer applicant enquiries, tracks applications and assists with scheduling interviews.
  • Inputs volunteer data into the volunteer database (VSys One), provides reports and statistics as required by the Director and Coordinator.
  • Creates and maintains hard copy volunteer files and archives inactive files as required.
  • Assists with volunteer recognition events and activities including annual recognition event, education mingles, greeting cards, and reference letters.
  • Assists with Canuck Place Children’s Hospice (CPCH) special events including, but not limited to, Family BBQ, Winter Family Festival, and galas as required.
  • Builds and maintains interdisciplinary relationships with CPCH team members as well as with Food Services and Housekeeping teams.
  • Provides administrative support for Volunteer Leadership Team meetings and education mingles.
  • Provides back-up for the Volunteer Coordinator role as required.  

 

EDUCATION AND EXPERIENCE

 

High school diploma plus a minimum of two years administrative assistant experience working in a team environment.  Non-profit and/or experience in a volunteer environment is an asset.

 

QUALIFICATIONS

  • Demonstrated administrative and organizational skills.
  • Intermediate experience using Microsoft Office programs (Word, Excel, Outlook, PowerPoint).
  • High degree of discretion and maturity in handling confidential information and situations, including the ability to work with children and families sensitively.
  • Ability to work collaboratively as a member of a team.
  • Excellent interpersonal, written and verbal English communication skills.
  • Demonstrated strong relationship building skills with individuals at all levels.
  • Ability to establish and maintain appropriate professional and personal boundaries.
  • Experience using a volunteer database management program (e.g. VSys One, Better Impact) is an asset.

 

Note: Flexibility is necessary, as this position may require weekend and evening work and travel within the Lower Mainland.

 

This position may increase up to a 0.8 FTE in order to support vacation/sick time within the administrative team, as well as additional potential reception coverage.
