Background:

Edmonton Mennonite Centre for Newcomers (EMCN) has been active in Edmonton since 1981 and works with individuals of all ages and families coming to Edmonton from every part of the world. The majority of those people are sponsored refugees, landed immigrants who have been in Canada five years or less but also included are people who have become citizens, refugee claimants and visitors. In a year, we serve individuals and families from more than 100 places of origin.   Services are available in both official languages and in about 30 other languages.

 

Summary of Position:

The successful candidate would be responsible for the payroll functions. The maintenance of accurate records and control reports along with enforcing the accounting policies, procedures and controls set forth by EMCN. This position may be expanded in the future to a full time position with other reporting responsibilities.

Specific Accountabilities:

  • Review new employee information to ensure accurate completion, process security clearances and input new staff to payroll system.
  • Ensure that employees have a clear understanding of Great West Life’s Group Benefit Plan and the importance of enrolling in the plan in a timely manner.
  • Maintenance of employee records including address and status changes. 
  • Handle employee questions and concerns regarding payroll, benefits, employment verification, vacation, etc.
  • Responsible for the employee benefit enrolments, changes to coverage, and termination of benefit coverage.
  • Input hours and complete payroll on a semi-monthly basis by using ADP-WorkforceNow payroll system and Excel worksheet.
  • Assist in the preparation of the T4, T4 summary, etc. process on an annual basis, up to and including reconciliation.
  • Assist in preparation of WCB year-end reports (on an annual basis).
  • Tracking employee absences including but not limited to health and personal days, and vacation in ADP.
  • Consult with managers regarding payroll concerns, research and process adjustments as required.
  • Distribute pay stubs for employees not receiving electronic pay stubs, to applicable departmental contacts in a timely manner.
  • Prepare report for Receiver General including the breakdown of statutory deductions.
  • Reconcile benefits programs to the General Ledger.
  • Submit monthly RRSP and TFSA contribution amounts to Manulife.
  • Maintain and prepare payroll reports (showing employee cost breakdown per program).
  • Take initiative where appropriate and follow through on all projects on a timely manner.
  • Set priorities, develop a work schedule and monitor progress towards goals, and track details, data, information and activities.
  • Update payroll knowledge by participating in educational opportunities.

Experience and Qualifications:

  • Degree/diploma or enrolled in Accounting, Finance or Business programs.
  • experience working with Sage an asset
  • Must have experience reconciling G/L to SAGE.
  • Experience working in a not for profit environment would be considered an asset.
  • Proficiency in Microsoft Office software, Excel, Word and Outlook (internet and email).
  • Thorough knowledge of applicable payroll/ general ledger systems and procedures.
