Administrative Program AssistantKUF Job Description  

Kids Up Front is a charitable organization that receives donations of event tickets (arts, culture, sports and recreation) from individuals, corporations and event providersThe donated event tickets are distributed through 170 child-serving agencies to deserving children, youth and families in our community. In 2016 over 38,000 tickets valued at over $1.3 M were distributed to kids facing financial and/or social barriers. 


The Administrative Program Assistants primary responsibility is to process ticket donations and work with the Relationship Manager to ensure the operations and integrity of the program. Kids Up Front is governed by a dynamic board of 16 community members. The one office is centrally located in the Kingsway Business Centre Edmonton, Alberta. Employees currently include an Executive Director, Relationship Manager and a book keeper. 


Hours and Salary Range: 

  • Full-time position 37.5 hours per week 
  • Typically, during regular weekday hours but at times may require a flexible schedule based on ticket demand. 
  • Salary range between $37,000 -$42,000 per year (based on experience) 

In Your Role You Will: 

  • Process ticket donations received throughout the week (receiving and distributing tickets using an online database and or hardcopy tickets) 
  • Monitor ticket pick-up, use, and reporting agency and client feedback 
  • Maintain and update donor and ticket information in Tix for Kids database 
  • Collect tax receipt information from donors and process receipts as per CRA requirements 
  • Project work as required 
  • Support the implementation of special event promotions and fundraising 
  • Prepare written communications and documentation (e.g. sending thank you letters) 
  • Represent KUF along with KUF recipients, on occasion, to events for promotional purposes 
  • Vacation relief 
  • Support all office administrative functions including: support to the Relationship Manager and Executive Director, answer phone calls, file documents, prepare documents and correspondence 




  • 2+ years' experience in administration, data entry related field 
  • Strong multi tasker with excellent organizational skills and attention to detail 
  • Demonstrated proficiency working with SharePoint, Microsoft Office Suite (Outlook, WordExcel, etc.) 
  • Proficiency working with a database, CRM 
  • Excellent interpersonal, verbal and written communication skills 
  • Adept at coordinating time-sensitive projects and deadlines 
  • Ability to take initiative and work independently 
  • Valid driver's license 
  • Social media savvy using Facebook, Twitter, Instagram etc. 
  • Knowledge and experience working with WordPress, In-Design or other graphic art software and Microsoft Dynamics would be an asset
