RESPONSIBILITIES:          

Provide accurate, timely and highly organized administrative support including preparing memos, correspondence, taking minutes, maintaining files, preparing presentation and reports and other documentation for the Corps and CFS

Perform duties such as issuing donor receipts for income tax purposes, weekly bank deposits, filing of bank records, payroll, track employee sick and vacation time.  Handle/reconcile petty cash and other floats, enter travel claims and corporate cards for staff and managers into the on-line management system, accounts receivable/invoicing; code and forward invoices to the regional accounting center (RAC) for payment; review accounts payable invoices directly sent to RAC for processing to ensure correct coding. 

Responsible for payroll employee administrative functions in UltiPro 

Perform general office duties such as answers telephone and directs enquiries and answers inquiries; greets visitors and directs them to the appropriate person(s); files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email material as requested.

Build and maintain databases (e.g. contact lists, inventory, etc.)

Open and distribute in-coming mail and processes out-going mail; receives parcel(s) and distributes to the appropriate person(s)

Use word processing for routine documentation such as forms, letters, memo, email, Corps Bulletin, Corps Calendar and may keep records; check typing for accuracy, sorts and prioritizes typing assignments within general guidelines.

Accept and receipt all donations and payments for building rentals as well as organizing rental schedule of Corps hall.

Input all pertinent information in the Salvation Army information system known as SAMIS.

Order all stationary and kitchen supplies and maintains adequate office supplies and other supplies as needed; maintains photocopier and postage meter supplies; arranges for maintenance of office equipment.

Receive and arrange for all transfers of Corps Soldiers, Adherents, and Friends of the Salvation Army.

Update bulletin boards.

Perform other position related duties as required.

 

 

QUALIFICATIONS:

Completed two (2) years of Community College, preferably the completion of a diploma or certificate in Business Administration Certificate and/or an Accounting Diploma is preferred

Minimum of two (2) years of prior related experience including senior administrative/secretarial, payroll administration, and general accounting experience; the incumbent should also have experience dealing with office equipment and tools.

Experience with or willing to learn program specific software such as; Aggresso, TEM, CMS, SAMIS and UltiPro.

Self-motivated and organized.

Attention to detail and ability to multi-task with frequent interruptions 

Strong organizational skills with the ability to complete assignments and meet deadlines with minimal supervision

Proficiency in all Microsoft Office products is required - i.e. Word, Excel, Publisher, PowerPoint, etc.

Strong administrative, interpersonal and communication skills both oral and written

Ability to work in a fast paced environment, with proven attention to detail and aptitude for accuracy and thoroughness and consistent follow-up skills and flexibility

Demonstrate strong organizational, prioritizing and time management skills to effectively handle multiple priorities and meet competing deadlines with minimal supervision

Adaptable, proactive, a self-starter and the ability to work independently

Ability to use tact and diplomacy when dealing with the public, both in person and on the telephone

Ability to maintain a high level of accuracy and confidentiality; attention to detail, problem solving and analytical skills

Valid Ontario Class “G” Driver’s License,  own vehicle and insurance, a current copy of a driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.

Provide an original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required.  The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.

Screening through The Salvation Army Abuse Registry.

Support for and an understanding of the mission and purpose of The Salvation Army in Canada.

NOTE: Alternative combinations of education and experience may be considered

 

This is a permanent, full time position based on 25 hours per week.  Normal hours of work – 10:00 a.m. to 4:00 p.m. Monday to Friday and includes a 1 hour unpaid meal break from 12:00 p.m. to 1:00 p.m.  Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required.
