POSITION SUMMARY:         

 

The Music School manager provides leadership, coordination, support and assistance in the planning and implementation of the School’s activities and operations.  Reporting to the Board, the manager is directly responsible for registration and scheduling, communications and public relations, financial management, facilities management and general administration.  The manager provides support to the Board in carrying out its responsibilities and assists the Faculty in coordinating its programs and activities.

 

KEY RESPONSIBILITIES:

 

  1. Registration and scheduling
  • Handle enquiries and registration details for all students
  • Coordinate the assignment of new or transferring students to appropriate music Faculty members, groups and/or orchestra levels
  • Organize ECE classes
  • Coordinate the room schedules for private teaching and group lessons
  • Assist the Faculty in preparing group lesson schedules
  • Assist the Faculty to prepare a yearly calendar of events
  • Arrange rehearsal schedules
  • Provide verification of registrations to teachers

 

  1. Communications and public relations
  • Act as official spokesperson for the School
  • Provide information about the School to interested parties, including the media
  • Promote the School and its programs
  • Ensure that “family” members and key associates are informed of relevant matters
  • Follow up with new families to welcome, answer questions, determine satisfaction and ensure understanding of the School’s policies, practices and procedures

 

  1. Financial management
  • Collect registration fees and where necessary and appropriate, make special arrangements for fee payments
  • Handle in a timely manner all bank deposits, bill payments and debt collection
  • Arrange for monthly payments to teachers, staff and janitorial service providers
  • Provide bookkeeping services
  • Manage and account for all fundraising revenue and disbursements, including special events, purchase and sale of supplies, instrument rental, etc.
  • Prepare, in consultation with the Faculty, a budget for approval by the Board
  • Provide regular financial statements for the Board, monitoring progress, budget adherence and highlighting areas of concern
  • Prepare a year-end financial statement (with the assistance of an outside accountant) for approval at the Annual General Meeting and submission to government agencies and others, as required
  • Act on behalf of the Board as an official signing officer for financial and administrative purposes, such as tax receipts, banking, investments, service contracts, etc.

 

 

  1. Facilities management
  • Negotiate (in consultation with the Board) the annual lease for the School premises
  • Make arrangements for, and supervise, janitorial services, purchase of supplies, minor repairs and general maintenance
  • Make recommendations to the Board on special projects related to major repairs, renovations or other maintenance issues
  • Arrange for in-house or external facility rentals or permissions for concert or special event purposes
  • Arrange for piano tuning, as required

 

 

  1. General administration
  • Arrange insurance coverage (general, Officers and Directors liability, and special events)
  • Recruit volunteers to assist with various tasks
  • Prepare, circulate and ensure return of signed agreements from teachers and associates
  • Prepare and ensure collection of consent forms for student outings
  • Arrange for accompanists as required
  • File annual charitable returns and information required by the government and others
  • Ensure that complete and accurate financial, administrative and Board records are maintained for the appropriate length of time
  • Other tasks, as required

 

 

  1. Support to the Board of Governors
  • Provide leadership and assistance to the Board with the development and implementation of annual plans
  • Advise the Board Chair of key issues or other matters that may require Board consideration and/or action
  • Ensure that School policies, guidelines and procedures approved by the Board are implemented
  • Assist the Chair in preparing Board meeting agenda and supporting documentation
  • Attend and participate in regular meetings of the Board and in Board committee meetings as required
  • Prepare and circulate all documentation related to Board meetings such as agenda, minutes, financial statements, etc.
  • Take action on matters as directed by the Board

 

 

  1. Assistance to the Faculty
  • Attend and participate in Faculty, departmental and Faculty Representation Committee meetings and provide related administrative support, as required
