Location: Burnaby BC

Hours: 35/week

Applicants must meet the Canada Summer Jobs eligibility requirements:

  • be between 15 and 30 years of age at the start of the employment;
  • have been registered as a full-time student in the previous academic year and intend to return to school on a full-time basis in the next academic year;
  • be Canadian citizens or permanent residents or person on whom refugee protection has been conferred under the Immigration and Refugee Protection Act* (foreign students are not eligible) for the duration of employment ; and
  • have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada, according to relevant provincial/territorial legislation and regulations.


Position Summary: The Business Systems Assistant is responsible for activities associated with the ongoing administration, coordination, and development of business systems. The Business Systems Assistant will also provide support to ongoing human resources activities. In addition to day-to-day work as noted this position is focused on assisting with:


  • Support the administration, registration, and running of the Annual General Meeting (AGM) event


  • Assist with registration and certification for online courses
  • Assist the public with basic adoption information and referrals as needed
  • Receive and forward calls
  • Assist with the Annual General Meeting planning
  • Organize event information and registration
  • Assist with internal ongoing human resource administrative activities
  • Assist with hiring and interview coordination and employee exit procedures
  • Assist members with access to services such as the library
  • Receive and process daily mail
  • Maintain an understanding of program areas and system/data requirements of the organization
  • Assist with planning, developing, and maintaining the database structures required to meet all program area needs for data and reporting
  • Assist with implementing, monitoring, and evaluating strategic business systems including the website, embedded relational database, and web-based tools and services in accordance with established directions and strategies
  • Assist with the planning, developing, and implementing risk management procedures and systems
  • Create and update database elements such as templates, custom fields and profiles
  • Assist with developing and implementing ongoing quality assurance processes for database, website and other business systems as determined
  • Manage related employee and volunteer files
  • Assist the Business Systems Manager with various tasks as needed

Education, Knowledge, Skills and Experience:


  • Pursuing a degree in Technology, Computer Science, Management of Information Systems, Business Administration and/or relevant work experience in programming, website and database management and use
  • Strong working knowledge of MS Word, Excel, and PowerPoint
  • Familiarity working with web –based database systems
  • Demonstrated ability to work independently and as part of a team
  • Excellent written and verbal communications skills are required.
  • Experience within the Indigenous Community and/or a connection to the adoption community are desirable
  • Experience in social services and/or non-profit fields considered an asset
  • Recognizes the impact of one’s own culture on intercultural interactions and adapt to cultural differences. Has a strong understanding of one’s own culture and perspectives whilst able to accept cultural diversity and the multitude of approaches and range of ideas available. Applies learning in a manner that is respectful of and appropriate for the culture in question.
