The BC Wildlife Federation (BCWF) is the largest and most influential conservation organization in BC.  As a province-wide non-profit charitable association with over 40,000 members and more than 110 Member Clubs, our organization represents the interests of all British Columbians whose aims are to conserve and protect BC’s fish, wildlife and habitat for present and future generations. 


We are currently searching for a Systems Coordinator as the gatekeeper for all database information.  You will be the administrator of all internal systems and related projects and the first line of systems support within the organization.  Reporting to the Director, Corporate Operations you will research best practises and develop strategic initiatives to create efficiencies within the organization.

Duties and Responsibilities will include:


Systems Support

  • Act as the information technology liaison between the BCWF and IT service provider.
  • Oversee maintenance and upgrades to all BCWF technology systems, including phones, computers, printers, etc..
  • Maintain user profiles and access within systems.
  • Create and maintain process diagram flowcharts on departments and overall operations.
  • Ensure all systems are working together for maximum efficiencies.
  • Work with all departments to build out an internal intranet site, ensuring documents and information are kept current and relevant.

CRM Database

  • Manage membership and donor information to ensure the integrity of the system.
  • Extract information and export data to other software applications for departmental needs.
  • Administer queries as the subject matter expert.
  • Enter, import and maintain memberships, donations and other data within the CRM database, including:
    • Reformat, clean up and prepare data for importing;
    • Perform quality checks on data;
    • Reconcile receipts with the Finance department; and
    • Ensure that CRA requirements are met.
  • Track event registration, invoicing, sponsorship, receipting, and recognition.


  • Maintain up to date constituency information and produce mailing lists for different departments.
  • Provide assistance and support as required for special projects and events, such as AGM, lottery, tradeshows, etc..
  • Provide general office support, as needed.

Work Experience:

  • Minimum five years’ experience in member services and/or within a non-profit.
  • Minimum five years’ experience with data management in a complex setting.
  • Preferred experience and proficiency in Raiser’s Edge or similar database software.
  • Preferred experience with hardware maintenance and upgrade projects.

Knowledge, Skills and Abilities:

  • Proficient in Microsoft Office Suite.
  • High level of typing accuracy and speed (Minimum 50 wpm).
  • Must have excellent written and verbal communication skills, including superior customer service attributes, a professional demeanor and a positive attitude.
  • Must be extremely well organized, analytical, flexible and detail-oriented, with the ability to manage multiple priorities and meet tight deadlines.
  • Must be a self-starter, capable of working within a dynamic, multi-faceted team environment.
  • Must be able to keep strict confidentiality and sign a confidentiality agreement.
  • Must be capable of lifting objects of up to 40lbs; with no physical or health limitations.
  • Strong personal alignment with BCWF’s mission, goals and values.
  • Must be willing to do a criminal record check.


  • Post-secondary education or formal training in business/fundraising office and/or customer service.
  • Training with Raiser’s Edge Database software.



This full-time, permanent position is based at the BCWF offices in Surrey, conveniently located close to Hwy 1 and the Golden Ears Bridge. Occasional evenings, weekends and/or extended hours may be required to accommodate activities and events.
