HERE’S WHAT WE CAN DO TOGETHER

To provide reception and clerical support to the Administrative Manager, staff and clients of the Vancouver Family Preservation and Reunification Services. This is a 35 hour per week position, Monday to Friday.

 

YOUR KEY CONTRIBUTIONS

Reception

  • Greet clients, visitors and staff in a pleasant and welcoming manner.
  • Answers general phone inquiries using a professional and courteous manner; directs calls and relays messages to staff.
  • Refers calls to appropriate resources inside and outside the agency as needed.
  • Prepares mail to be sent to other agency offices via inter-agency courier. Picks up and distributes incoming mail. Sends outgoing mail as requested.
  • Sends faxes for staff and distributes incoming faxes as required.
  • Photocopies and distributes materials as required.
  • Troubleshoots the Xerox machine for staff, and contacts the Xerox Service Department for repairs on an as needed basis.
  • Ensures reception area, waiting room, staff supply room and Xerox area is neat and tidy and that all current forms are up to date and available for the staff. 

Clerical

  • Receives and distributes new referrals to the appropriate staff.
  • Performs data entry, scans and saves new referrals in the Sohema on-line information System (Sohema).
  • Enters and updates client case information in Sohema.
  • Opens new client files and separates “stand alone” and regular files.
  • Enters new referrals on the Master List and updates the list when client record is assigned to a Family Counsellor.
  • Off-sites closed files to MCFD for Iron Mountain on an annual basis.

Administrative

  •  Provides direct administrative support to the Administrative Manager and staff in a confidential and timely manner.
  • Assists the VFPRS Program Managers to amend forms as necessary and ensures forms are readily available for staff.
  • Books rooms for Family Counsellors on the Outlook calendar as requested.
  • Ensures that program brochures are available to clients along with other FSGV program brochures.
  • Keeps track of office supplies, inventories and reorders supplies as necessary.
  • Checks all Staples Supplies when received against the Order form, and keeps track of back logged orders.
  • Prepares monthly Staples invoices for approval by the Administrative Manager.
  • Makes recommendations to the Administrative Manager on office equipment, supplies, and recycling, etc.
  • Assists staff in use of office equipment and routines.
  • Provides assistance to the Administrative Assistant at the direction of the Administrative Manager.
  • Performs other assignments delegated by Administrative Manager
  • Maintains staff and client sign in and out schedule.
  • Orders business cards as requested.
  • Organizes office keys and distribution when required.
  • Helps maintain the cleanliness of the kitchen, assisting other staff with emptying the dishwasher on an as needed basis. Purchases cream and milk for the kitchen and ensures all supplies are available at all times.
  • Prepares for onsite meetings including food and equipment.

  • Strong communication/interpersonal skills
  • Pleasant, calm manner and ability to relate well to children and adults, clients and professionals, in person and on the phone, while working in a fast paced environment
  • Careful attention to details
  • Ability to work independently and as part of a team
  • Ability to multitask, showing initiative and flexibility
  • Working knowledge of MSWord, Excel, Outlook, Internet and database software skills

Education:                   Grade 12 Diploma

Experience:                 Minimum 1 year experience in an administrative position
