Philanthropy Assistant, Gift & Estate Planning

FULL-TIME, CONTRACT until March 2020

We are seeking an administrative professional to support the legacy fundraising activities of our Gift & Estate Planning (G&EP) Team. Reporting to the Associate Director, Gift & Estate Planning, this role will be responsible for a range of activities, including day to day duties associated with the administration of estates, life insurance and fundraising activities as they relate to legacy gifts and planned giving.


More specifically, you will be responsible for:


Legacy Giving Fundraising Support

  • Providing administrative support to the legacy fundraising activities of the G&EP team, including assembling information for donor meetings, requesting research information, coordinating mailings, responding to donor requests and legacy confirmations as well as prospect inquiries, and organizing individual tours.
  • Maintaining donor and legacy prospect records in the Raiser’s Edge Database and other systems to ensure accurate information is recorded, including information secured from visits and telephone calls with donors and prospects.
  • Producing reports as needed and assisting with the monthly reconciliation of results.
  • Assisting in the development of fundraising materials for gift and estate planning such as letter templates, donor forms, and program one-pagers.


Estate Administration Support

  • Providing administrative support to the Estate Administration Associate with the management of all active estate files; preparing correspondence for executors, lawyers, and other appropriate individuals to ensure the timely execution and administration of the donor’s estate.
  • Preparing estate files for the Estate Administration Associate to review and respond to; this includes research to collect the pertinent information related to the estate and the donor.
  • Collaborating with Finance and Donor Services to ensure timely processing of all required documentation and receipts.



As the successful candidate, you have a diploma or post-secondary degree in a related field (e.g., business, fundraising, administration) and a minimum of two years demonstrated experience in administration gained in the legal, financial or not-for-profit industry. Experience working for a not-for-profit or as part of a fundraising team is an asset.


As the ideal candidate, you demonstrate the following knowledge, skills and abilities:

  • Advanced computer literacy skills with Microsoft Office applications applied to the preparation of proposals, reports and presentations.
  • Experience with database administration, Raisers’ Edge experience is an asset
  • Excellent verbal and written communications skills.
  • Ability to efficiently organize and manage a diverse range of assignments while meeting multiple deadlines, along with thorough attention to detail and consistent with follow through.
  • Excellent interpersonal skills and the ability to communicate with a broad range of people.
  • Resourcefulness and independence, while remaining comfortable working within the framework of a collaborative, team-oriented environment.
  • Ability to handle sensitive and confidential information appropriately and with discretion.
  • Familiarity with legal documents is an asset.
