Job Title:  ECOLE Project Internal Coordinator

Contract Dates:  August 28, 2018 - April 30, 2019 with possibility of renewal.
Hours and Compensation:  $17/hour, 15 hours per week, flexible.  Self-determined schedule, evening and weekend availability required on occasion.
4% vacation pay is given at the end of each contract

Location:  Meetings with students, faculty, and staff members at McGill’s downtown campus.  Otherwise, the coordinator can choose their work location, but is encouraged to work out of the ECOLE office (3559 University).

About the Position

Broadly, the role of the ECOLE Coordinators, both Internal and External, is to provide support for ECOLE’s activities. Coordinators liaise between the ECOLE Collective, Board of Directors and Facilitators living in the house to realize the project goals. Coordinators oversee the documentation and institutionalization of the ECOLE project, including financial, legal, and operational responsibilities. Coordinators support the Facilitators in meeting facilitation and event-planning assistance through active listening, mentorship and emotional support. The coordinators work closely with each other in accomplishing their goals and responsibilities.  Communication and mutual support among the coordinators, including sharing tasks and managing the workload, is very important in the ECOLE work environment. Please note that meetings and activities rely on a consensus decision-making approach. Specifically, the role of the Internal Coordinator is focused on the internal operations of ECOLE and requires experience in budgeting, fundraising, policy-writing, payroll management, and basic bookkeeping (processing invoices and reimbursement forms). Key responsibilities include:

  • Develop annual and project-specific budget, providing regular financial updates
  • Coordinate payment including payroll, taxes, expense reimbursements, and financial records
  • Identify and secure sources of long-term funding for the project
  • Support the ECOLE facilitators in aspects related to living space, academia, etc., ensuring they fulfill their responsibilities, through intentional relationship-building (one-on- ones, facilitating retreats, visioning, etc.)
  • Maintain the ECOLE project as a student-run initiative, ensuring appropriate distribution of power between students and non-students
  • Organize and facilitate Board of Directors Meetings, as an invited (non-voting) member
  • Facilitate review processes for the Board of Directors and the ECOLE facilitators
  • Organize and promote the ECOLE Annual General Meeting


Desired Qualifications

  • 2+ years of experience with budgeting and financial administration (work or volunteer)
  • 2+ years of experience with consensus-based decision-making
  • 1+ year of experience in project coordination (work or volunteer)
  • Ability to multi-task and prioritize
  • Familiarity with anti-oppressive language, organizing tactics and conflict resolution
  • Detail-oriented nature with a strong ability to see the bigger picture as well
  • Excellent interpersonal and written communication skills in English (bilingualism an asset)
  • Knowledge of graphic design tools including Photoshop, InDesign and Illustrator (an asset)
  • Grant-writing experience (an asset)
  • Knowledge of McGill and SSMU institutional procedures and structures (an asset)
  • Knowledge of sustainability initiatives at McGill and Montreal/Quebec (an asset)
  • Familiarity with ECOLE (an asset)



Training will take place over 15 hours during the last week of August 2017 at ECOLE, according to current and incoming Coordinators’ schedules. Additional training can be ongoing based on the self-identified needs of the Coordinator and based on organizational evaluations.
