The Youth Job Connection (YJC) program is designed to help young people between the ages of 15 and 29 who face multiple barriers to employment.  It provides access to employment skills development, along with education/training and work experiences. 


The YJC Program Coordinator: Our organization maintains high quality standards in program delivery and reporting.  We are looking for a very detail-oriented individual who will be responsible for coordinating daily operations of the program, supervising and supporting the team, and providing staff with information, available resources, feedback and motivation to excel in their roles. The YJC Program Coordinator will also be fully responsible for maintaining the program’s detailed budget requirements.   Reporting to the Director of Operations, the YJC Program Coordinator will work in collaboration with the Etobicoke Hub Program Manager to ensure that this program meets and exceeds all project goals and objectives.


Position Type: Full time contract ( until March, 31, 2019 with very good possibility of renewal)

Location: Etobicoke

Responsibilities (include but are not limited to):


Program Coordination/Supervision

  • Manages project staff according to the established policies and practices of the organization
  • Maintains, tracks and administers comprehensive program budget with accurate and up-to-date data, assumes full accountability for all related expenditures and outcomes
  • Tracks expenditures for clients’ project participation stipends and submits claims to finance
  • Serves as the main point of contact for the program between senior management and YJC staff
  • Ensures that the operation of the program meets the expectations of the organization and funder
  • Reviews the progress of the program against targets and makes adjustments as necessary
  • Reports findings to the Director of Operations and recommends changes to enhance the program as appropriate
  • Coordinates services for the program to ensure timely access, budget availability and smooth operation
  • Participates in developing and maintaining program structure and administration - troubleshoots as needed
  • Coordinates program development initiatives and follows through on all outstanding tasks
  • Creates and updates program marketing materials including brochures, web content, letters etc.
  • Creates program forms and other materials and service delivery tools as needed
  • Prepares weekly, monthly, quarterly and ad hoc reports for submission to the Director of Operations
  • Assists with preparing ministry quarterly reports and business plans
  • Ensures that the team is submitting reports on time and as requested
  • Facilitates team meetings
  • Discusses needs with the team and allocates resources and staff to meet those needs
  • Periodically reviews client information in EOIS and The Career Foundation’s database
  • Conducts file audits to ensure data integrity and file compliance
  • Mediates conflicts or concerns as they arise
  • Assists employers to attract and recruit employees/skilled labour by facilitating employment related events, utilizing employer prospecting activities as needed
  • Creates a mentorship program to meet Funder requirements and develops a resource pool of mentors/coaches
  • Develops support plans with participants and mentors/coaches
  • Links participants with appropriate mentors/coaches to provide support during and after job placement
  • Monitors mentor/coach relationships and its impact on workplace and individual success and facilitates adjustment as required
  • Participates in fundraising activities
  • Other responsibilities as assigned by the Director of Operations


Qualifications/ Skills Required

  • University Degree is required
  • Must possess a minimum of 4 years of project and staff management experience, including the direct supervision of a full-time team, comprehensive program reporting, and target achievement
  • Must possess a minimum of 2 years’ experience thoroughly managing a program budget with full accountability for forecasts and related expenditures, and a proven ability to identify and reconcile variances
  • Must possess strong current relationships with employers to ensure the success of program ‘s placements and the development of mentorship component
  • Knowledge of hiring and training practices
  • Extended marketing experience, including digital marketing campaigns
  • Experience with developing project materials, business documents and internal databases
  • A high level of computer literacy utilizing all Microsoft Office applications  
  • A broad knowledge of occupations and current labour market conditions affecting youth
  • Extremely detail oriented with a proven ability to recognize, track and resolve errors
  • Excellent communication and interpersonal skills with a proven record of demonstrating tact and diplomacy when facing challenging situations, including conversations with the funder
  • Flexible to work evenings and weekends if required
  • Strong organizational skills, able to take initiative and multi-task
  • Customer service oriented with ability to uphold the organization’s service standards and policies
  • Valid Ontario driver’s license and access to a reliable vehicle is essential for local travel
