Perform general office duties such as: screens telephone calls and directs and answers inquires; files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email courier material as requested; resolves routine inquiries.

Perform various accounting duties such as bookkeeping, accounts payable, accounts receivable, issues official receipts (e.g. for income tax purposes).

Assist with and prepare various account reconciliations (i.e. accounts payable/receivable)

Maintain an accurate, ongoing record of all donations to the ministry unit; send acknowledgements as per policy and enter into all donation details into the Shelby System Donation module to generate Income Tax Donation Receipts.

Handle and replenish petty cash once the voucher amounts and tally is confirmed and reconciled; assign appropriate General Ledger Expense accounts and prepare Petty Cash Reimbursement Requests; e-mail Request and related expenditure receipts to designated RAC Finance Accounts Payable contact for processing,

Complete data entry into the UltiPro Payroll System and assist with ensuring that payroll reflects  up-to-date records of employee sick and vacation time

Maintain current fixed asset inventory; ensure that a yearly inventory is completed, maintains adequate insurance coverage; ensure that all Ministry Unit properties i.e. upkeep, inspections, insurance, repairs, service contracts, quotations etc. are completed as required.

Oversee purchasing as required and prepare accurate and timely Quarters Furnishings requisitions for approval through DHQ Finance

Ensure that the outside signage and online website signage is changed on a regular basis.

Co\ordinate facility reservations for outside groups, ensuring that all necessary details are completed i.e. set-up, take down, catering etc.

Communicate with the custodian as necessary regarding the requirements for the Church building and outside groups i.e. set-up etc.

Assist with the preparation of the annual budget for the ministry unit under the supervision of the Corps Officer. 

With Finance local assistance, bank all weekly Revenue receipts and ensure that all Bank deposit confirmation forms (Bank deposit slips and Cash Deposit Summaries) are accurate and forwarded each week to our designated RAC Finance Dept. contact for General Ledger Account re-distribution.

Assign WHC RESPC Code and scan approved accounts payable vendor invoices for payment and forward (via e-mail) to the designated Octacom Payment Processing Centre for timely processing; input all Internal Accounts Payable Voucher Payments into the on-line T.E.M. System in a timely manner and ensure that Payment Vouchers are supported by the appropriate original expense receipts and payment authorizations.

Monitor adherence to all relevant Salvation Army Minutes, advising Corps officers of deviations and chronic problems.

Distribute Agresso System Month-End Financial reports to internal Corps sections including Women’s Ministries, Youth, Senior Band, etc.

Maintain databases (e.g., contact lists, inventory, hours worked); maintains input into Salvation Army Management Information System – S.A.M.I.S,

Process Corp Officer’s Corporate US Bank VISA expenses through T.E.M. System; generate all necessary Agresso Financial System reports as required.

Maintain, compile and update the overall Ministry Unit Inventory database.

Order all stationery supplies and maintain adequate office supplies and other supplies as directed; maintain supply of postage stamps, arrange for maintenance of office equipment.

Process out-going mail including courier parcels and materials of a confidential nature; receives parcels and distributes to the appropriate persons; assist with the daily general mail opening and record incoming Revenue by generating Shelby System Tax Donation Receipts.

Perform other position related duties as required.



Completed two (2) years of Community College, Business Administration Certificate preferred.

Minimum of three (3) years of prior related experience, including accounting office and accounting software experience, payroll, general accounting and senior administrative/secretarial experience.

Ability to maintain a high level of accuracy and confidentiality; attention to detail, problem solving and analytical skills

Experience with or willing to learn program specific software such as; Aggresso, TEM and Ulti-Pro.

Excellent time management and people skills

Ability to lift/move more than 10 lbs. (9kg)

Ability to prioritize work

Must be proficient in Microsoft Office.

Provide an original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required.  The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.

This is a permanent part time position based on 16 hours per week.  Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required.  Normal hours of work – 9:00 a.m. to 1:30 p.m., Tuesday to Friday includes a ½ unpaid meal break
