Summary

The Senior Human Resources Coordinator is responsible for carrying out a variety of human resource activities while building on continuous improvement to all processes. This position is part of the HR Team and is primarily responsible for all HR reporting and analysis and the full employee life-cycle. This position will assist with the development and coordination of all HR program initiatives and the day to day operations of the HR department.

 

Duties and Responsibilities

Recruiting

  • Maintain the job posting and applicant database (internal and external)
  • Perform full-cycle recruitment activities within tight timelines, including: job postings, screening, interviewing, selection, reference checks, and employment agreements
  • Provide support and ensure the completion of the onboarding and off-boarding processes
  • Coordinate the orientation and training for new employees

 

Employee Relations

  • Providing timely assistance to staff and managers regarding human resource inquires
  • Assists Management Team to address employee concerns and to proactively resolve workplace issues
  • Provides administrative support on employee-related documentation: entering, formatting, disseminating information
  • Communicating policies and procedures accurately

 

Record Keeping

  • Responsible for the input, maintenance and accuracy of employee information
  • Updates company policy materials, reference materials, and HR documentation.
  • Generate scheduled or requested reports to assist management
  • Track and monitor probationary end dates, first aid expiry dates, vehicle business insurance and CRC expiry dates
  • Performing file audits on employee documentation is collected and maintained accurately
  • Manage and update HRIS databases: Replicon, Trakstar, Ceridian Insync and BambooHR

 

Payroll and Benefits

  • Assist with payroll process, ROE’s, T4 documentation as needed to ensure efficient and accurate processing
  • Assist with benefit enrollments and reconciliations
  • Assist with claims, insurance inquiries and disability management as needed
  • Facilitating resolutions to any payroll errors

 

Compliance

  • Maintains employee confidence and protects operations by keeping human resource information confidential
  • Organize and store HR personnel files in accordance to policy and procedure and legal guidelines.
  • Maintains quality service and assisting in the creation and implementation of HR programs and policies including safety and health programs
  • Assist with legal compliance and workplace regulations including issues relating to wages and hours, payroll taxes, discrimination and harassment, workplace privacy, leaves of absence, employee benefits and health and safety.

Other

  • Researching and providing information on HR and employee issues
  • Provide support and assistance to the Human Resource Team
  • Developing employee engagement programs and leading the analysis of employee feedback and data
  • Assists in the planning and execution of employee agency events
  • Participates in workplace committees and foster a positive work environment
  • Perform other duties as required

Knowledge, training, experience, and skills will include:

  • Experience working in Non-profit and/or union environment is an asset
  • Knowledge of employment legislation including the BC Employment Standards Act, BC Human Rights Code and Workers Compensation Act
  • Familiarity with HRIS: Replicon, Trakstar, Ceridian Insync and BambooHR is an asset
  • Technological proficient; confident in the use of Microsoft Office Suite.
  • Able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Self-motivated and proactive mindset; ability to anticipate issues and take initiative
  • Exceptional analytical and organizational skills with strong attention to detail
  • Excellent communication skills (written and verbal) coupled with strong interpersonal skills; adept at working with a variety of personalities in a dynamic environment
  • Able to follow instructions, respond to management direction, and must be able to improve performance through management feedback

Education/Qualification Requirements

  • Post-Secondary Degree or Diploma in Human Resources or a related field.
  • CHRP designation or actively working towards the Designation.
  • Familiarity with accounting software, spreadsheets and word processing
  • Payroll and knowledge of Ceridian software is an asset
  • 2+ years of experience in Human Resources preferably with a focus on recruitment

Working Conditions/Special Requirements

  • Must be able to work flexible hours especially during Audit time
  • Operates out of the Vancouver head office
  • Criminal record check prior to employment, and subject to regular review
  • This is a non-union position
  • Up-to date membership in relevant professional association or societies

Start Date: As soon as possible

Position Type: Permanent, 35 hours per week

Reports to: Director of Human Resources

Location: Vancouver

Union: This is a non-union position

Benefits: Full benefits package upon completion of probation

Salary: $25-30.62 per hour
