Summer Student (35 Hours/ Week)

Full-time Summer Position, 10 Weeks Duration

A Human Resources Administrative Assistant (Student) is expected to work in unison with the Job Skills Team, in the deployment of Job Skills’ strategic priorities and vision, which have been designed to enhance the organization’s ability to meet and exceed its objectives.  This position will report to the Manager, Human Resources and indirectly to the Director, Finance & Human Resources.




The successful candidate (Student) will meet the following criteria:

  • Must be between 15 and 30 years of age at the start of employment
  • Must have been registered as full-time Student in the preceding academic year
  • Must intend to return to school on a full-time basis, in the next academic year (September 2018)
  • Must be a Canadian Citizen, permanent resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act* for the duration of the employment and,
  • Must have a valid Social Insurance Number at the start of employment and be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

*Foreign Students are not eligible


 Students must also have the following qualifications/skills:

  • Excellent communication skills (written, verbal)
  • Be enrolled in either a College or a University level program majoring in Human Resources or a related field
  • Excellent customer services skills with both internal and external customers
  • Superior organizational skills, with the ability to multi-task, in a fast-paced environment
  • Proficient in MS Office Applications (Word, Excel, PowerPoint and Access)


The Human Resources Administrative Assistant (Student) is based at the Job Skills’ Head Office location, in Newmarket, Ontario. 


This position will support the Human Resources Department in Newmarket and will also provide Human Resources support to the many Job Skills regional sites, located in the Brampton, Keswick, Markham and Newmarket areas, as well as the Welcome Centre Immigrant Services location operated by Job Skills, as needed. Travel to the individual Job Skills’ offices will be on an “as required” basis.


The Human Resources Administrative Assistant (Student) position will be responsible for the following learning objectives and job tasks:


Human Resources

  • Develop an understanding of the applicant pre-screening process and be able to pre-screen candidates by evaluating applicant information, ensuring that the applicant pool is diverse and that candidates under consideration meet the minimum qualifications, described in the position description.
  • Assist in the interview process and collaborate with the internal interview team to co-ordinate full interview cycle (contacting candidates both verbally and in writing), pre-screening and co-ordinating interviews with candidates, booking interview room, preparing interview packages, preparing candidate follow-up e-mails, setting up second interviews etc.
  • Learn the reference checking process and be able to conduct candidate reference checks using the Job Skills’ template.
  • Assist with job offers and the orientation process (creation of job offer letter, internal recruitment announcements, setting up orientation, co-ordination of Staff Manual, setting up mandatory Health & Safety Awareness, AODA, Human Rights, WHMIS, Workplace Violence & Harassment, ESA & Customer Service training).
  • Become familiar with the Job Skills’ timesheet management database and assist in the monitoring of staff timesheets and preparation of related monthly reports, collaborating with management team relating to any timekeeping issues.
  • Maintain both paper and electronic employee files (ensuring that a copy of each paper document is scanned into the electronic HRIS file and that the paper document is filed in the employee’s personnel file).
  • Be aware of the HR templates available in the Human Resources Directory and be able to produce basic HR documents, as required.
  • Become familiar with monthly HR reports (e.g. Recruitment Status, Lieu Time, Birthdays, Vacation Status) and be able to collect data, analyze information and prepare reports, as required.
  • Become familiar with the Job Posting process (internal and external) and be able to post jobs in accordance with company standards/legislative requirements.

Special Projects

  • Updating of Health and Safety processes and communication of same cross-divisionally.
  • Revising of Job Skills Job Descriptions, including related competencies.
  • Updating of Succession Planning documents.
  • Researching Applicant Tracking Systems and new HRIS Systems/Software.

General Office Duties

  • Become familiar with Job Skills’ mandate, objectives and programs (e.g. Employment Services, Youth Job Connection, Smart Start, Canada Ontario Job Grant, Business Services, Welcome Centre, Self-Employment Pathway for Newcomers, Job Search Workshop, Job Find Club, Employment Settlement Services etc.), through the review of available literature, involvement in staff meetings and site-specific visits.
  • Learn Job Skills’ general program information and be able to refer walk-in/telephone clients to appropriate community services and programs.
  • Develop and maintain a working relationship with all Job Skills’ Departments, at all Job Skills’ offices.
  • Learn to operate basic office equipment (e.g. switchboard, photocopier, laminator, postage machine, desktop computer, including related computer programs, e-mail and directories).
