To support this growth, we are expanding our Finance and Administration team with the newly created position of Donor Services Coordinator.


Reporting to the Manager, Financial Planning and Reporting, the Donor Services Coordinator will work closely with the Finance & Administration and Resource Development teams to ensure efficient, accurate and timely gift processing, and capture of associated donor information into the Society’s database (Raiser’s Edge). This role provides essential administrative and database support to help the Society to reach its fundraising goals, and ensures compliance with CRA and accounting requirements.



  • Records, processes, and posts donations of cash, cheques, credit cards, shares, securities, estates, and gifts-in-kind.
  • Reconciles gift records and reports.
  • Prepares revenue tracking reports as needed.
  • Reconciles donation revenue to bank statement each accounting period.
  • Maintains a thorough understanding of Raiser’s Edge database relating to gift processing.
  • Maintains current knowledge of CRA, regulations, best practices for recording and receipting of gifts.
  • Generates charitable receipts and various acknowledgement letters.
  • Ensures correct transaction coding and processing from acceptance of donations to issuance of receipts and acknowledgement letters to donors.
  • Collaborates with Manager, Donor Information Services and Manager, Financial Planning and Reporting to develop and implement database solutions.
  • Maintains data integrity in the Raiser’s Edge database.
  • Runs database queries and reports as requested by RD including donor recognition lists, invitation lists, mailing lists, financial reports, etc.
  • Supervises volunteers who assist with gift processing, data entry, and record maintenance.
  • Assists with the maintenance of the Raiser’s Edge gift entry manual.
  • Provides training to department staff to ensure understanding of the Society’s database structure, coding and procedures.
  • Deals courteously and effectively with donor calls and questions.
  • Maintains donor confidentiality and protects the Society’s operations by keeping information confidential.
  • Attends and provides assistance at Society events as requested.


  • 3-5 years recent related experience in a non-profit organization.
  • Computer skills designation or related relevant designation.
  • Understanding of CRA and accounting requirements for gifting and donations.
  • Raiser’s Edge database knowledge and experience.
  • Understanding of gift processing, including events, bequests, estates, life insurance, tribute gifts.
  • General knowledge of accounting principles and procedures.
  • Competent in Microsoft Office, especially Excel.
  • Experience with Crystal Reports is preferred.
  • Ability to communicate effectively in English, both oral and written.
  • Strong attention to detail.
  • Ability to work effectively with a diverse group of stakeholders.
