ROLE PURPOSE

To streamline how we develop, document, update and ensure adherence to our policies and procedures across the organization, support our quality improvement, risk management and contract management processes, systems and documentation.

 

KEY ACCOUNTABILITIES

Policy and Procedures Administration

  • Support the writing of and updates to JHSLM policies and procedures.
  • Follow up with policy and procedure reviewers and approvers to ensure timely updates to JHSLM policies and procedures.
  • Lead the process and document required reviews of policies and procedures by all managers and staff (annually and as significant updates occur).

Contract Administration

  • Ensure all documentation related to program contracts is tracked and stored as needed.
  • Liaise with Program Directors, Program Managers and Finance/Admin team members to provide up-to-date and accurate reporting on our program service delivery and invoicing in relation to our program contracts.

Quality Assurance and Risk Management Administration  

  • Develop and maintain the documentation required to support our quality assurance (QA), risk management and continuous quality improvement (CQI) processes and meetings.
  • Provide direct administrative support to review and audits to ensure we are adhering to our policies and procedures and our commitment to continuous quality improvement across the organization.

Accreditation Support

  •  Coordinate the regular (annual and for specific items as needed) review of accreditation requirements and reporting any key gaps and opportunities for improvement to Senior Management.
  • Provide support to Senior Management in compiling and updating the documentation required by Commission on Accreditation for Rehabilitative Facilities (CARF).

WORKING CONDITIONS

  • Works full time at 40 hours a week. 
  • Is excluded from the bargaining unit of CUPE Local 1936-11
  • Receives benefits and works within the conditions outlined in the Personnel Manual

QUALIFICATIONS

You are a highly motivated individual with a proven ability to work within a fast-paced, growth-focused environment.  You will possess:

  • An appropriate post-secondary degree such as a BA or BComm, or combination of education and experience
  • Recognized experience with analyzing, documenting, coordinating and/or supporting quality assurance and other key business processes within an organization.
  • Strong orientation to detail, accuracy and following up to take things to completion
  • Extensive experience with computers and proficiency in the use of appropriate software including the Microsoft Office suite, Windows, and Microsoft SharePoint
  • Demonstrated ability to develop strong collaborative relationships, work effectively as part of a team, use good judgement, manage conflicts constructively, and take initiative to identify areas of improvement or growth
  • Direct experience related to CARF accreditation and working in the social services sector would be an asset.
  • A current Vulnerable Persons Criminal Record review
  • Extensive knowledge of the John Howard Society, our Mission and Core Values, and a strong desire to be a part of the JHSLM team

COMPENSATION

Annual Salary will be negotiated based on experience and qualifications. This role will also be eligible for the Society’s comprehensive Management Benefits Package.
