Position Description:

Due to a significant increase in workload, ECEBC is looking for a temporary Administrative Assistant. The successful applicant will excel when working in a busy office where no two days are the same. While this position is temporary until September 2018, there is a strong chance of extension, of up to a two-year contract.

 

Reporting Structure:

The Administrative Assistant reports to the Executive Director and supports the staff team with the day-to-day duties of the provincial office and the overall work of the provincial organization.

 

Key Duties and Responsibilities:

       

Administrative Support

  • Provides support as needed to the Executive Director and the ECEBC staff team. Tasks may include booking travel, filing paper and digital records, sourcing office supplies, answering inquiries, etc.

Finance

  • Prepares cheque requisitions
  • Prepares and reconciles month end documents for bookkeeper and accountant

Office Management

  • Ensures office systems are maintained and up to date
  • Scans documents and publications for electronic archives and online library
  • Other duties as assigned

 

Qualifications

  • Ability to effectively prioritize a variety of demands while under time constraints
  • Incredibly detail oriented
  • Demonstrated ability to work well under minimal supervision
  • Excellent verbal and written communication skills
  • Strong organizational and administrative skills
  • Ability to work within a team environment
  • Proficiency in MS Office
  • Knowledge and understanding of basic bookkeeping preferred
  • Knowledge of the Early Childhood Education field preferred
  • Knowledge of ECEBC as a provincial organization, its programs and services preferred
  • Training in office administration
  • 2 years of experience working in an office environment

 

Working Conditions:

This position consists of a 25-hour work week and may include some flexibility for evening and weekend

work. The working hours are negotiable, and the start date is as soon as possible. The rate of pay is $21/hour plus all mandatory benefits. All staff must follow ECEBC’s Code of Ethics and the standards set out by the Canada Revenue Agency for registered charities.  Upon commencement of employment, employees are required to sign a letter of confidentiality.
