Working alongside the Community Engagement Manager, the Food Drives Assistant will be responsible for providing support to all aspects of the winter holiday food drives for the Greater Vancouver Food Bank (GVFB). Food drives are a great way for individuals, schools, organizations and companies to help collect and donate the non-perishable items that are always needed by a Food Bank. The ability to develop and maintain strong relationships with a large number of internal and external stakeholders is of paramount importance while working in a fast-driven multi-project environment.


This is a full-time contract from September 2018 - January 2019.


Main Duties

  • Continually reviews and responds to third party food drive applications via; in person, email, phone, and online.
  • Ensures that food drive information is accurately entered into the donor database (Raisers Edge), and filing system in a timely manner.
  • Ensures all relevant food drive organizers are thanked and recognized in an appropriate way and in a timely fashion post event, as determined by any relevant agreements.
  • Works with GVFB transportation team to ensure drop-offs and pick-ups of materials and food are done in a timely manner.
  • Occasionally picks up cash donations from donors using a GVFB branded vehicle.
  • Comfortable writing reports and tracking tasks.
  • Responsible for maintaining food drives supplies, ordering and upkeep of storage areas.
  • Treats all staff, volunteers and stakeholders with dignity, respect and fairness and is consistent in words and actions.


  • Post-secondary education in office administration, fundraising, communications, public relations, or equivalent; and/or equivalent work experience.
  • 2-3 years’ experience in a customer-oriented administrative role, preferably in a not-for-profit environment.
  • Outstanding attention to details and the ability to handle multiple projects simultaneously.
  • Strong interpersonal skills for interacting with individuals at various levels.
  • Ability to work independently or as an effective team member.
  • Must be available for the last two weeks in December.
  • Strong proficiency in Microsoft Office 2010 (Word, Excel, PowerPoint and Outlook).
  • Strong proficiency in databases (The Raiser’s Edge) an asset.
  • Valid class 5 driver’s license with clean driving abstract and able to pass a criminal records check.
  • The ability to work with and supervise volunteers.

Working Conditions

  • Primary responsibilities are carried out in the office; however, being out of the office regularly to attend/assist with indoor/outdoor food drives and Community Events in the service area is required.
  • Working under a high degree of pressure you will ensure that all logistical aspects of food drives are carried out successfully.
  • Physical activity is a part of the job, including the lifting of boxes (up to 30 pounds each), setting up/ dismantling equipment, etc.
