Summary of Position: 

The Database Administrator will be expected to work closely with the Outcomes Measurement Specialist to analyse data requirements within the organization, design, test and implement data collection systems including data management policies and the client information management system.  Additionally, this position will support the development of reports to meet frontline, management and organizational needs and train staff in data entry and reporting.  The incumbent will ensure that data collection and use policies are being followed in a consistent way.

 

Responsibilities:

  • Identify, understand and plan for organizational and human impacts of the client information management system and ensure that technical requirements are properly integrated with existing processes and skill sets.
  • Interact with Sierra Systems to understand software limitations and new functionalities.
  • Support the development of data management policies.
  • Perform system and policy testing.
  • Develop user manuals.
  • Train staff on their respective client information management roles.
  • Elicit and analyze user feedback on an ongoing basis and address issues.
  • Control and monitor user access to the client information management system.
  • Pull information out of the Client Information Management System and bulk upload it into funder databases.
  • Use other Microsoft programs such as Forms and Power BI for data collection and visualization
  • Carry out other duties agreed upon in consultation with the Outcomes Measurement Specialist and Deputy Executive Director

 

 

Data Administrator

Summary of Position: 

The Childcare Inventory Administrator will be part of the Community Based Care for Newcomer Children team and is expected to work co-operatively with others, demonstrate flexibility in organizing work, show a high degree of initiative, judgement and resourcefulness, demonstrate thoughtfulness in decision-making, be non-judgmental and receptive in approach, and reflect genuine concern, respect and commitment towards the individual, family and community.

Responsibilities:

  • Maintain and update weekly a database of childcare provider information by connecting with childcare providers to obtain this information.
  • Work closely with administrators in the LINC program to maintain up to date records of available LINC classroom space.
  • Track all statistical data using Excel database.
  • Update and design new forms as required.
  • Keep accurate records of payment agreements, invoices and receipts for all childcare providers enrolled in the project.
  • Provide accurate and relevant statistical data to the coordinator for the purposes of funder reporting.
  • Respond to incoming telephone calls providing informative, accurate information.
  • Operate office machines, such as photocopiers and scanners, facsimile machines and voice mail systems.
  • Carry out other duties agreed upon in consultation with the program coordinator.

 

Technical Qualifications and Skills:

  • Degree/Certificate in related field
  • Familiarity with client information management systems, knowledge of Microsoft Dynamics 365 is an asset, desire to learn is essential
  • Experience working in research and/or evaluation
  • Previous experience as a data administrator is an asset

 

Administrative Qualifications and Skills:

  • Training and/or experience in finance administration is an asset
  • Excellent skill in Microsoft Office software, especially Excel
  • Knowledge of services and supports available to immigrants in Edmonton
  • Comfortable working in a cross-cultural environment; respectful of individual and cultural differences
  • Excellent oral and written communication skills
  • Ability to work in a busy “people oriented” environment
  • High degree of initiative and ability to work with minimum supervision
  • Security Clearance conducted by the Edmonton Policy Service
