The Program and Member Services Coordinator is an integral member of the ECVO programs team. This position has three primary function areas:

1.       Program & Event Logistics assisting with the planning and execution of programs and events, supporting day-to-day administrative functions, building a database of suitable program and event venues and caterers, creating and maintaining a financial overview of programs, and ensuring the success of ECVO’s capacity building events.

2.       Members Services with a focus on organization and individual member recruitment, renewals, retention, tracking, and reporting. This person is the first point of contact for all new and existing members and collaborates with the Communications Manager to ensure effective ongoing communication with members.

3.       Administrative Support to the Executive Director and the Director of Programs & Initiatives.



  • Develop and maintain relationships with key stakeholders
  • Support planning of assigned programs and coordination of program activities
  • Track and report participation statistics specific to programs, seminars and events
  • Maintain financial records including budgets and actual revenue and expenditure transactions
  • Conduct program evaluations; compile evaluation data for presentation to the Program Team
  • Setting up and managing program registration
  • Keep updated records and create reports or proposals
  • Support growth and program development
  • Manage and coordinate the SpareSmarts calendar of learning opportunities
  • Respond to questions regarding the education and training program
  • Manage the Volunteer Connector website, matching volunteers to non profit volunteer opportunitie
  • Provide Board Leadership Edmonton with conference coordination supports
  • Review all new member accounts and provide applicable reporting.
  • Responsible for supporting the membership committee of the Board of Directors
  • Works closely with the Executive Director and Communications Manager to develop and promote membership benefits.
  • Serve as main point of contact for members.
  • Act as the direct contact for member updates and changes on all accounts.
  • Conduct routine integrity reports of data in database to ensure accurate information is being stored.


  • Post Secondary degree or diploma in a directly related field
  • Effective professional communication skills in person, by phone and by email, with ability to build and maintain relationships
  • Superior organization and time management skills with close attention to detail
  • Self-starter who takes initiative, can successfully prioritize, and managed a varied workload
  • Customer service experience and skill as an engaged and friendly communicator
  • Experience in a member based environment and an understanding of the fundamentals of a non-profit working environment are assets
  • Must speak, read and write English fluently

  • Advanced knowledge of MS Office and an ability to learn and work in other software applications
