Organizational Background

Established in 1967, the Canadian Society for Exercise Physiology (CSEP) is a voluntary organization composed of professionals interested and involved in the scientific study of exercise physiology, exercise biochemistry, fitness and health.

The Society’s 6000 members represent the GOLD STANDARD of health and fitness professionals dedicated to getting Canadians active safely by providing the highest quality customized and specialized physical activity and fitness programs, guidance and advice based on extensive training and evidence-based research. 

To support these efforts, the CSEP maintains a national office with approximately twelve full-time and part-time staff. Over the past five years the organization has experienced rapid growth in its operations and is beginning to stabilize; through enhancing office work flow processes, the organization seeks to continue modest growth, provide excellent service to members, and enhance its brand recognition. 

The CSEP Board of Directors is inviting human resources consultants to submit a proposal to conduct a professional assessment of the staff structure and work flow processes and identify opportunities for improvement and efficiencies.

 

Tasks to be accomplished

The consultant will assist CSEP staff with identifying, documenting, and suggesting improvements to internal (office) work flow business practices and processes.

  • Consult with Board of Directors to understand organizational needs relative to future development and growth of CSEP as it pertains to office workflow processes
  • Review and validate existing documentation and workflow activities and tasks;
    • Use existing job descriptions relative to current job activities to ascertain perspective and approaches within and across portfolios
  • Categorize work flow processes at an appropriate level of detail and a consistent format across portfolios and positions to better define departments and/or need for departments.
  • Characterize and document personnel currently performing activities/tasks as well as ‘shared’ workflows cross-personnel and/or department;
    • Identify the events (triggers) that cause a process to begin, end, be redirected and/or delayed;
    • Identify gaps and gateways (decisions that alter the path of a process depending on conditions or events);
    • Identify opportunities for change in job description and structure to enhance efficiency and staff opportunity to improve services;
  • Pinpoint organizational inefficiencies in activities/tasks of the workflow and identify approaches to streamline and enhance workflow efficiency;
  • Propose changes to current business process work flow in line with best practices
  • Provide a written summary to educate staff and Board members to clarify gaps, identify strengths and opportunities for enhanced workflow process and efficiency.
  • Potentially present the findings to the CSEP Board of Directors for discussion e.g., via videolink.

It is not an expectation of this RFP to incorporate the following:

  • Review of organizational structure;
  • Analysis of strategic plan / objectives.

Projected Budget

$10,000 - $15,000
