Job Profile:


The purpose of this position is providing full clerical support to the Senior Director of Workforce and Culture, the Director of Philanthropy, Directors of Services (2), HR Administrative support as well as provide supplemental reception duties. This individual will ensure that any person coming into the office feels welcomed and that their information needs are met in a timely and efficient manner. This includes providing reception services during office hours, and responding to questions about CMHA and community services to callers and walk-ins.


The Administrative Assistant provides administrative, coordination, and clerical support to the Directors. This may include data entry, handling correspondence, handling telephone calls with clients and professionals in a sensitive and diplomatic manner, managing incoming/outgoing mail, managing the filing system, photocopying/faxing/scanning documents, organizing and coordinating internal and external meetings and overseeing office activities.


The administrative team provides backup to each other. The Administrative Assistant may be required to work in any of the CMHA office locations to provide reception duties and may be called upon to assist in agency-wide or program specific projects as determined by the Directors and other duties as assigned.


In addition to compliance with all organizational policies and procedures, the incumbent is also expected to behave ethically, demonstrate competence in effective communication and team building, demonstrate effectiveness in working in a collaborative environment, and demonstrate confidence in decision-making and in building relationships.



  • Post secondary education in administrative, clerical or related area
  • Min. 2 years administrative and/or clerical experience related to office management is preferred
  • Awareness of mental health system and mental illness an asset
  • Exceptional computer skills for a networked office, including MS Word, Excel, Access, Outlook, and Powerpoint.
  • Superior organization, time management and planning skills.
  • Exceptional interpersonal, communication and customer service skills.
  • Ability to maintain confidentiality.
  • Ability to multi-task and prioritize workload.
  • Ability to work independently as well as function as part of a multi-disciplinary team.
  • Ability to be proactive and take initiative where required.
  • A second language (Cantonese, Farsi, French, Italian, Korean, Mandarin, Punjabi, Russian, Tamil, Urdu) reflecting the local community is an asset.
  • Excellent oral and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills
  • A valid Canadian G driver’s license, a minimum $1,000,000 third party liability insurance and access to a reliable vehicle is preferred
  • A satisfactory Police Check

This position reports to and is supervised by the Senior Director of Workforce and Culture and may be assigned to other programs on a needed basis.
