Job Profile:

The purpose of this position is providing full administrative support to the Senior Director of Workforce and Culture, the Director of Philanthropy and Directors of Services (2). Your role will require resourcefulness, problem solving, positive energy and a commitment to getting the job done well and managing tight deadlines.


The Administrative Assistant provides day-to-day administrative support activities including calendar management, follow up from meetings, scheduling, meeting logistics, and other administrative duties required to support the Directors on the Senior Management team. The successful candidate will proactively manage inquiries or requests from staff, volunteers, donors, or media, and will assist with the preparation of meeting and presentation collateral. In addition, this person will coordinate special projects as assigned by the Senior Leadership team; undertake data collection/research, analysis, and summary reporting on items as requested, prepare draft correspondence, presentations, agreements, and reports, many of a highly confidential nature.


The administrative team provides backup to each other. The Administrative Assistant may be required to provide relief reception duties at any of our office locations and may be called upon to assist in agency-wide or program specific projects as determined by the Directors and any other duties as assigned.


In addition to compliance with all organizational policies and procedures, the successful candidate is also expected to behave ethically, demonstrate competence in effective communication and team building, demonstrate effectiveness in working in a collaborative environment, and demonstrate confidence in decision-making and in building relationships. 



  • Minimum 2 year college diploma in administration or related field
  • Minimum 2 years of work experience providing administrative support for upper-level management
  • Experience in a non-profit organization an asset
  • Advanced computer skills for a networked office, including MS Word, Excel, Outlook, Powerpoint,
  • Project and database experience is an asset
  • Superior organization, time management and planning skills that reflect ability to perform and prioritize multiple tasks effectively with excellent attention to detail
  • Takes initiative and proactively seeks out creative solutions to challenges
  • Responsive and flexible in successfully working in a high paced, fast-changing environment,
  • Works well under pressure
  • Team player; able to roll up your sleeves and do what it takes to help reach the applicable goals
  • Exceptional interpersonal, written and verbal communication skills.
  • Ability to maintain confidentiality.
  • Ability to work independently, with little supervision, as well as function as part of a multi-disciplinary team.
  • A second language (Cantonese, Farsi, Italian, Korean, Mandarin, Punjabi, Russian, Tamil, Urdu) reflecting the local community is an asset.
  • A valid Canadian G driver’s license, a minimum $1,000,000 third party liability insurance and access to a reliable vehicle is preferred
  • A satisfactory Police Check

This position reports to and is supervised by the Senior Director of Workforce and Culture.
