Our client, Rady Jewish Community Centre, is seeking an Administrative Assistant to provide support to the Executive Director, contributing to the effective day to day operations of the Rady JCC. This vibrant and welcoming community is Winnipeg’s leading cultural, recreational and fitness centre encouraging Jewish values to flourish within the community.




Administrative Support

  • Receive and organize the Executive Director’s incoming mail
  • Prepare memos, letters and routine correspondence for the Executive Director
  • Order and organize office supplies
  • Assist with travel arrangements
  • Maintain files, contact lists, email groups, etc.
  • Schedule meetings and help organize the Executive Director’s schedule
  • Assist in formatting presentations
  • Update web site information as assigned
  • Compile statistics and prepare reports from CSI (membership database)
  • Coordinate grant proposals and monitor grant requirements

Membership Support

  • Compile statistics and prepare reports from CSI (membership database)
  • Review and process requests for financial assistance
  • Provide administrative support to fundraising activities
  • Provide back-up to the Membership Services Desk

Board and Committee Meeting Support

  • Prepare meeting materials, minutes and in person support during Board and Committee meetings
  • Scheduling, notification and tracking RSVP’s of meetings
  • Arranging logistics for meetings, including AV, food, beverage and meeting room bookings
  • Organize the Annual General Meeting, including preparation of the Annual Report

Special Events Coordination

  • Provide administrative support to fundraising activities, particularly the annual fundraising dinner
  • Prepare minutes and agenda for sub-committees
  • Coordinate the preparation of the Sponsorship Program and Dinner Program
  • Liaison with sponsors, event planners and canvassers
  • Coordinate an auction, in consultation with the Auction Committee
  • Prepare and update the donor database for canvassers
  • Prepare and proof all materials, including donor and sponsor letters, canvasser’s letters, dinner tickets, promotional materials, etc.
  • Identify potential sponsors
  • Assist in the organization of event logistics
  • Coordinate day of and day after logistics

Qualifications & Experience

  • 2-3 years of experience in an administrative position
  • Exceptional understanding of strategic planning, finance, Human Resource management and operations in a multi-faceted organization
  • Team player, with the ability to multi-task and work under tight deadlines
  • Strong communication skills both verbal and written
  • Excellent organizational skills and attention to detail
  • Excellent computer skills, including proficiency in Word, Excel, PowerPoint, Outlook and experience generating reports from pre-existing database
  • Commitment to providing the highest quality of customer service both internally and externally
  • Able to work independently, with minimal direction
  • Able to handle confidential information with the highest level of discretion
