Position Summary:

This position is responsible for coordinating multiple education programs including the annual conference that supports the ongoing professionalization of the ECE field. The position requires a deep understanding of Early Childhood Education and adult learning principals.

 

Key Duties and Responsibilities:

       

Communication

  • Promote educational opportunities offered by ECEBC through community presentations, social media, maintaining the events calendar and through direct emails
  • Respond to questions and requests for information
  • Share pertinent information with registered participants and workshop facilitators
  • Moderate or enlists facilitators to moderate various educational webinars and workshops
  • Liaise with conference partners: AV company, vendors, presenters, venue, and others leading up to conference and onsite
  • Act as a representative of ECEBC, being able to speak to all current programs and services
  • Along with colleagues, provide input towards strategic direction setting for the organization

 

Program Management

  • Design and administer surveys, collect data, interest, trends, and developments in the sector with a mind to future educational programming opportunities
  • Lead committee meetings for educational programs and conference planning. Record decisions made and action items of members
  • Look for funding opportunities including developing sponsorship plans
  • Support process and contractor(s) to do revisions and updates to educational programs
  • Support ECEBC regional branch offices with local conferences and training programs

 

Coordination and Administration

  • Maintain contact lists of conference partners including presenters, vendors, sponsors, venue, and others
  • Maintain ongoing task list for Conference Planning Committee
  • Schedule events, including setting up webinars and booking physical spaces, preparing materials, and disseminating completion certificates
  • Ensure the events calendar, online registration system, and all policies remain up to date
  • Update conference materials annually: conference sponsorship packages, conference trade fair applications, conference call for presentations applications, conference brochures, text for the website updates, etc.
  • Ensure all aspects of the annual conference are adequately prepared and run smoothly
  • Ensure professional development certificates are prepared and disseminated to participants

 

Finances

  • Track registration, monitor invoices, and process cancellations
  • Ensure accountants have all necessary information for bookkeeping purposes
  • Reconcile reports from the accountants with the internal database

 

Reporting

  • Monitor registration to ensure targets are met
  • Provide updates and reports to the Executive Director, Conference Committee, and program funder
  • Other duties as assigned

 

Skills and Experience Required:

  • Ability to effectively manage a variety of time-sensitive priorities
  • Ability to work well with minimal supervision through periods of uncertainty
  • Ability to excel in a team environment
  • Excellent verbal and written communication skills
  • Incredibly detail oriented
  • Experience coordinating the planning and implementation of educational programs, online workshops, and/or conferences
  • Experience supporting individuals with their professional development
  • Experience with grant writing preferred
  • Educational background and experience working in an ECE setting preferred
  • Knowledge of ECEBC as a provincial organization, its programs, and services preferred

 

Working Conditions:

This position consists of a 35-hour work week and will require some flexibility for evening and weekend work. The working hours are negotiable, and the start date is as soon as possible. The rate of pay is $45,000-50,000, depending on experience, plus benefits.  The successful candidate is expected to adhere to ECEBC’s Code of Ethics and the standards set out by the Canada Revenue Agency for registered charities.  Upon commencement of employment, employees are required to sign a letter of confidentiality.
