The Adoptive Families Association of BC, an accredited non-profit organization, has been dedicated to helping families navigate adoption by providing ground breaking programs that support the entire adoption and permanency community for more than 40 years.

Job Description

The Program Assistant is a member of the Child, Youth and Family Development department. This position assists and supports the AFABC Regional Services team in carrying out program administrative tasks including database and other software management systems, file management, travel, event and project support as well as department reporting coordination.


  • Provide day-to-day general administration support to the Child, Youth and Family Development Director.
  • Prepare and review event, expense and administrative reports.
  • Assist with the updating and maintenance of program-related website content.
  • Assist with volunteer recruitment and retention programs.
  • Maintain online database (Civi), and other program management/data tracking software.
  • Assist with program reporting and evaluations, as well as grant writing processes.
  • Coordinate team meetings, meeting documentation and action items, travel logistics, calendars and other related activities.
  • Coordinate print materials and other department purchases.
  • Support and monitor department file management systems.
  • Coordinate and support governance related projects and administration.
  • Participate in organizational development activities such as accreditation, committee work, etc. as required.


Education & Experience

  • Minimum of a certificate in office administration with at least one to two years’ experience in administrative support and/or marketing and communications.
  • Proficient in Microsoft Office (especially Excel).
  • Experience with customer relations databases and project management tools.
  • Experience with program development and event planning.

Knowledge, Skills & Abilities

  • Excellent knowledge of office procedures, equipment and software applications.
  • Strong verbal and written communication skills.
  • Ability to organize, prioritize and multitask.
  • Attention to detail.
  • Ability to work independently with minimal supervision.
  • Ability to work in a fast paced environment.
  • Ability to work professionally with confidential information and sensitive employee relations issues.
