Location: Windsor, ON Salary: $19.00 per hour


Perform general office duties such as: screens telephone calls and directs and answers inquires; files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email courier material as requested; resolves routine inquiries.

Maintain current fixed asset inventory; ensure that a yearly inventory is completed, maintains adequate insurance coverage.

Schedule appointments, meetings, prepare/distribute agendas; take minutes; type and circulates minutes.

Compile, type, and maintain policies, procedures, and manuals as needed.

Build and maintain databases (e.g. contact lists, inventory, etc.)

Draft and type correspondence, presentations, brochures; fliers and generates reports.

Assist in the preparation for accreditation and other reviews, and follow-up.

Assist with purchasing as required, and prepare requisitions for DHQ approvals, ensuring all necessary information is attached.

Order all stationery supplies and maintain adequate office supplies and other supplies as directed; maintain supply of postage stamps, arrange for maintenance of office equipment.

Process out-going mail including courier parcels and materials of a confidential nature; receives parcels and distributes to the appropriate persons; assist with the daily general mail opening.

Prepare and receive paperwork for various projects and processes. 

May schedule or keep track of supervisor’s calendar; make travel arrangements etc.

Makes decisions on routine and urgent administrative matters in the absence of supervisor.

Perform other position related duties as required.



Completed two (2) years of Community College, Business Administration Certificate preferred.

Minimum of three (3) years of prior related experience dealing with office equipment and tools,  and senior administrative/secretarial experience  

Self-motivated, flexible, disciplined and able to work with minimal supervision

Typing speed of 50 words per minute

Strong organizational, prioritizing and time management skills to effectively handle multiple priorities and meet competing deadlines with minimal supervision

Adaptable, proactive, a self-starter and the ability to work independently

Ability to maintain information in confidence and exercise good judgment.

Ability to learn, adapt, and utilize technology and processes quickly

Superior organizational skills, attention to detail, ability to prioritize, manage multiple tasks and the ability to complete assignments and meet deadlines with minimal supervision

Must have strong interpersonal and communication skills (written/oral) and an ability to work cooperatively with managers and community partners

Attention to detail and ability to multi-task with frequent interruptions and complete assignments and meet deadlines with minimal supervision 

Capable of establishing and maintaining positive interpersonal relationships

Ability to maintain a high level of accuracy and confidentiality; attention to detail, problem solving and analytical skills

Experience with or willing to learn program specific software such as; Aggresso, TEM and Ulti-Pro.

Ability to lift/move more than 10 lbs. (9kg)

Proficiency in all Microsoft Office products is required - i.e. Word, Excel, Publisher, PowerPoint, etc.

Valid Ontario Class “G” Driver’s License,  own vehicle and insurance, a current copy of a driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.

Provide an original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required.  The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment.

Support for and an understanding of the mission and purpose of The Salvation Army in Canada.

NOTE: Alternative combinations of education and experience may be considered


This is a permanent full time position based on 40 hours per week.  Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required.  Some travel may be required.


Normal hours of work – 8:00 a.m. to 4:30 p.m. and includes a ½ hour unpaid meal break.
